Terms of ReferenceGENERAL BACKGROUND OF THE ASSIGNMENT:
Every organisation has a Digital Workplace. It encompasses all the digital tools and assets needed for workers to effectively carry out their business functions. However, in a mature digital workplace, platforms, tools, and capabilities are used to transform the user experience
-creating an intelligent, relevant, and targeted experience to achieve the promised outcomes.

UNHCR is in need of internal digital spaces that empower our workforce to engage and collaborate on business specific processes, issues and priorities at the unit, section, service, community and global layers of the organisation.
The Digital Workplace and Knowledge Unit manages these spaces and one big project in 2024 – 2026 is to replace the current intranet with a more dynamic personalised Digital workplace experience driven by SharePoint, Teams, Viva Engage and other Microsoft technologies. One of the biggest repositories that exists at UNHCR, are the different policy databases. There is a need to align assets, rename files and apply new categories.

The position sits in UNHCR's Division of External Relations, Digital Service, Digital Workplace and Knowledge Unit (DWK).

The DWK unit is responsible for the coordination of content and overview of the information structure of the Digital Workplace's intranet, digital communities and internal digital engagement supporting the UNHCR workforce.
The Digital Workplace will enable colleagues to work from anywhere in a way that seamlessly transcends the physical workplace. In effect, getting work done and meeting with colleagues should be as frictionless as possible regardless of physical location and device.

The Associate Community Individual Contractor – Paternity Cover will be an essential part of Digital Workplace, overseeing the digital communities Viva Engage providing guidance to community managers and users on how to engage with audiences and how to device campaigns for long-term engagement.

The Associate Community Individual Contractor will report to the Senior Digital Engagement Officer.

Duties and Responsibilities

1) Assist community managers to implement long-term digital engagement strategies
2) Liaise with colleagues within UNHCR to identify possible online engagement practices
3) Collect user feedback from Viva Engage
4) Monitoring the platform and assist with overseeing ethical standards
5) Act as a helpdesk for user queries
6) Act as the focal point for other engagement tools, such as newsletter tool
7) Keep abreast of developments in the digital landscape that may enhance engagement
8) Any other related duties as required

OVERALL PURPOSE OF ASSIGNMENT:
Concise and detailed description of activities, including measurable outputs and delivery dates, impact indicators (what qualitative and quantitative results would be achieved upon completion of individual contract), performance indicators (timelines, value of the servicer endered in relation to the cost, timeliness) and work plan:

To support implementation of the policy database that will be integrated into the UNHCR Digital Workplace allowing users easy access and quick findability, applying naming convention and metadata standards to all assets.

QUALIFICATION OF THE CONTRACTOR:
Undergraduate degree (equivalent of a BA/BS) in in a work related area or similar field plus minimum of 5 years of relevant experience. • Excellent communication and presentation skills.
• Experience in information management, web publishing and web content development.
• Excellent computer skills (MS Office 365, Word, Excel, PowerPoint, SharePoint, MS Forms essential).
• Experience in authoring with SharePoint. • Excellent command of English (written and oral), and knowledge of a second language.
• Communications experience with UNHCR and/ or another UN agency. Annex 1 • Ability to telework efficiently and effectively in a team environment as well as independently, and manage own work related to multiple tasks and activities.
• Be comfortable working in a fast-paced and reactive environment, delivering to ahigh standard with tight deadlines.
