    Post Title : Administrative Assistant

    Position Grade : SSA-5

    Duration : 11 months with possibility for extension

    Duty Station : Abidjan – Cote d’Ivoire

    Supervisor : Head of Finance and Administration

    DUTIES AND RESPONSIBILITIES:

    Reporting to the Head of Finance and Administration, the Administrative Assistant is responsible for providing a range of specialised administrative support functions as follows:

    • Travel Management including hotel/air ticket reservations and processing of trip document in corporate system SAP.
    • Asset management and supplies. This includes office inventory items, facilitation in purchases and disposals on need basis.
    • Responsible for micro purchases and interact with colleagues to ensure procurement processes are followed ensuring compliance with organizational policies.
    • Assist Head of Unit in initiating, processing and maintaining records of all procurement actions (issuance of PRs, MPOs, tender specifications. Request vendor records updates, when required.
    • Administrative support to conferences, workshops, and retreats, including venue bookings, travel arrangements, and accommodation for participants.
    • Manage operational advances, ensuring proper tracking and documentation. Process and track administrative invoices for approval and payment.
    • Liaise with other functions and third-party contractors to enable efficient service delivery.
    • Draft office correspondence relating to the area of responsibility for signature by Head of Unit;
    • Perform other related duties as required.
