ResponsibilitiesWithin the limits of delegated authority, the Administrative Assistant will provide high-level support to senior leadership by coordinating implementation action on corporate initiatives including change strategies; facilitating the implementation of best practices; and supporting cross-functional processes to enhance decision making and improve overall efficiency and effectiveness in executive direction and management. The role ensures smooth and efficient office operations and promotes an organizational culture of continuous improvement and informed decision-making. This position plays a critical role in driving strategic initiatives, ensuring alignment with organizational objectives, and supporting senior leadership in key decision-making processes. The Administrative Assistant will be responsible for performing the following duties: Human Resources Management - Coordinates actions with respect to transactions related to the administration of the Office's human resource activities, e.g., recruitment, placement, relocation, performance appraisal, job classification reviews, separation of staff members, training etc., ensuring consistency in the application of UN rules and procedures. Liaises with the relevant administrative and human resources offices as required. - Provides advice and answers queries on classification procedures and processes. - Provides information and advice to staff/consultants with respect to conditions of service, duties and responsibilities, privileges and entitlements under the Staff Rules and Regulations. - Monitors office's staffing tables for a variety of human resource activities, e.g., appointments, retirements, expiration of appointments, reassignments, transfers and movement of staff. Budget and Finance - Provides assistance and coordination in the preparation and development of the office's work plan and budget. - Monitors extra-budgetary resources (where applicable), including review of agreements and cost plans, ensuring compliance with regulations and rules and established policies and procedures. - Assists in the preparation of the year end budget performance report submissions. - Assists in finalization of budget performance reports, analyzing variances between approved budgets and the actual expenditures. General Administration (cross functional coordination and support) - Liaise between the OSRSG and all mission components to ensure timely follow-up on key initiatives and decisions. - Draft and manage workflow of executive communications, including emails, memoranda, and reports, ensuring adherence to organizational standards. - Coordinate the actions in support of implementation of corporate initiatives aimed at improving decision-making processes and organizational effectiveness. - Research, identify, and recommend best practices in administration, management, and operational efficiency, and support their adoption across the mission. - Collaborate with different units and departments to support alignment of operational practices with strategic goals, ensuring cross-functional coordination. - Track progress on corporate initiatives, providing regular updates to senior management and recommending course corrections when needed. - Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field mission. - Assist in identifying, documenting, and implementing best practices across UNFICYP's administrative and operational processes, ensuring alignment with organizational standards. - Support the Head of Mission in the implementation of digital tools and platforms in line with digital transformation strategies to enhance office automation, knowledge management, and data-driven decision-making across the mission. - Performs other related administrative duties, as required. Work ExperienceAt least eight (8) years of progressively responsible experience within the United Nations system or the private sector in the field of administration, finance, accounting, human resources, audit, or in other related fields is required. At least three years (3) of experience working in a field mission setting is required. Experience in international operations in a post-conflict environment is desirable. Experience in Enterprise Resource Planning (ERP) platforms (i.e. Umoja) is desirable. Experience in drafting formal written communication is desirable. Experience in preparation and presentation of data-driven insights or similar reports to support senior management is desirable.
