Setting and ReportingThis position is located in the Department of Economic and Social Affairs (DESA), Office of Intergovernmental Support and Coordination for Sustainable Development (OISC), in the Intergovernmental Policy and Review Branch (IPRB). OISC, under DESA, provides substantive support to the work of the United Nations General Assembly, the Economic and Social Council (ECOSOC) and High-level Political Forum (HLPF) on Sustainable Development. ResponsibilitiesWithin delegated authority, the Administrative Assistant will be responsible for the following duties: Budget and Finance • Assists in the preparation and review of financial and human resource proposals/requirements. Consolidates budget/work programme with respect to Headquarters’ budget, trust funds, grants and procurement. • Monitors expenditures and compares with approved budget; prepares adjustments as necessary. • Assists managers in the elaboration of resource requirements for budget submissions. • Assists in preparation of budget performance submissions and finalization of budget performance reports, analysing variances between approved budgets and actual expenditures. • Prepares or customizes financial reports from UMOJA system generated reports. • Co-ordinates with other finance and budget staff on related issues during preparation of budget reports. Meeting Services/General Administration • Organizes and coordinates preparatory meetings with relevant offices and delegations regarding procedural and organizational arrangements for the meetings of the General Assembly, ECOSOC and HLPF and other meetings related to sustainable development. • Organizes and maintains reference material and background documents, including resolutions and decisions of main organs. • Determines the material and human resources requirements of meetings and prepares the cost estimates for consideration by the requesting office. • Prepares for committees and meetings/conferences to be held away from Headquarters, other UN Offices or Regional Commissions, coordinates with substantive offices and prepares cost estimates. • Drafts correspondence and notes for signature. • Responds to queries from delegations and Secretariat and other entities. • Make logistic arrangements for side events and panels; • Undertakes administrative actions required to process travel, DSA and passes, as appropriate for organizers and participants; • Performs duties as a focal point of the Branch for documentation including overseeing timely submission and works in close cooperation with the Office’s focal point on documentation; • Drafts routine correspondence to respond to enquiries in respect to relevant administrative, financial audit, personnel matters. • Performs other related administrative duties, as required (e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating seminars, conferences and translations). Work ExperienceA minimum of seven years of experience in administrative services, finance, accounting, audit, human resources or related area is required. The minimum years of relevant experience is reduced to five years for candidates who possess a first-level university degree or higher. Experience in the United Nations is desirable. Experience in office working on development issues is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of other official UN languages is desirable.
