Setting and ReportingThe Department of Operational Support (DOS) was established to provide end-to-end operational support, advisory services and other solutions to operating entities across the Secretariat, including departments, offices away from headquarters, peace operations, and regional commissions. This position is located in the in the Office of the Chief Kuwait joint Support Office (O/CKJSO). The Administrative Assistant at this level reports to the Deputy Chief KJSO. ResponsibilitiesWithin delegated authority, the Administrative Assistant will be responsible for the following duties: (These duties are generic and may not be carried out by all Administrative Assistants.) GENERAL ADMINISTRATION • Under the direct supervision of the Deputy Chief of KJSO, the incumbent prepares accurate and timely correspondence and forms in Arabic and English to relevant government Ministries and Agencies on matters that include but are not limited to visas, residency permit and driving licenses. • Liaises between staff and relevant government offices on protocol matters, e.g., visas, residency permits, driving permits, etc.; provides support in organizing visits for high-level delegations; assists with accreditations procedures; interprets between Arabic and English as and when required; • Provides accurate and timely English and Arabic translation of for all official documents and correspondents for the office; drafts outgoing letters, faxes and other official correspondence for the review of the Deputy Chief and manages all incoming official correspondence for the Office of the Chief; • Performs other related administrative duties, as required, e.g., prepare, process and follow-up on administrative arrangements and forms relate to the official travel of staff; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for seminars, conferences and translations. • Ensures effective and efficient functioning of the O/CKJSO by maintaining contact with visitors and staff; arranges appointments and meetings, including meeting room reservation, compiling and preparing briefing and presentation material, background information and documentation for meetings. Supports the office with leave monitoring and maintaining leave and absences. • Maintain the up-to-date filing system (both paper and electronic) ensuring safekeeping of confidential materials. • Prepares and processes all UN forms and permissions for contractual and work Unit, Section or Service UN staff, including UN grounds passes, property passes, UN parking permits, swipe-card access and door keys. • Coordinates extensively with other units and liaises frequently with staff from these Units. • Assists in the preparation of budget performance submissions. • Assists in preparing statistical tables and standard financial reports. HUMAN RESOURCES MANAGEMENT • Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit's human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures. • Enters and maintains administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems. • Reviews entitlements-related claims and reports. • Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary.
