    Organizational Setting and Reporting Relationship

    The position is assigned in the Strategic Workforce Unit (BPOD-SWU) within the Budget, People, and Management Systems Department (BPMSD). BPMSD provides operational support to ADB on areas of position management, recruitment and selection, HR business partnering, HR operations administration including HR systems and analytics, reward management, talent management, learning and development, and ADB budget management. BPOD-SWU is responsible in (i) reviewing staffing, identifying skills requirements and allocation of positions to organizational units; (ii) leading the annual workforce analysis and preparation of departmental strategic staffing plan; (iii) reviewing organizational structure and the allocation of functions between and among organizations and recommending changes in organizational arrangements; and (iv) assessing administrative support systems, procedures and practices to further improve work efficiency and effectiveness.

    You will report to Advisor, BPMSD and Head, SWU and to designated International Staff and Officer.

    Your Role

    As a Senior Workforce Planning Assistant, you will contribute technical inputs to the unit's various work including staffing skills requirements, workforce analysis, position management, organizational realignments, knowledge sharing and institutional coordination. Furthermore, you will provide administrative support to the Advisor, BPMSD and Head, SWU and unit's operations.

    You will:

  • Assist in data gathering and preparation of various documents, presentations, and reports.
Maintain record of position management requests submitted by departments/offices; Notify concerned BPMSD division(s) and/or department(s)/office(s) of approved position management request. Prepare position update details of the organizational realignments and submits these for approval by Advisor, BPMSD and Head, SWU. Provide support in the preparation of presentation materials (including for WPBF) for briefings and coordinate discussions with Management, senior staff and Budget Review Committee. Assist in the review of position, cost and timesheet data, prepare graphical presentations and participate in discussion on the Workforce Planning and Budget Framework (WPBF) exercise. Contribute to the knowledge build-up of the division including sharing expertise, proposing efficiency measures, exploring/piloting new digital technologies that helps business processes, mentor/coach new administrative staff. Ensure the effective coordination of supervisors' schedules and in arranging appointments, meetings, logistics, and travel accommodations as specified by the supervisors and in accordance with ADB procedures. Ensure that all incoming/outgoing correspondences and documents for supervisors are properly prepared, typed and proofread, submitted on time and complied with ADB's processes and standards, maintain the office filing systems, as well as ensure adequate office supplies. Perform other tasks as assigned and reflected in the incumbent's work plan.

Qualifications

You will need:

Bachelor's degree At least 5 years of relevant work experience Basic understanding of strategic and operational planning or human resources policies and procedures Knowledge and proficiency of relevant office technology applications and personnel database systems Ability to deal and manage large sets of data with high accuracy, reliability, and promptness Ability to work collaboratively with teams as a constructive team member Good oral and written communication skills Please refer to the link for ADB Competency Framework for Technical Local Staff at Level 2.
