UNHCR, the UN Refugee Agency, is offering a Local Individual Contractor Agreement within the Fleet Management Unit, Asset and Fleet Management Section (AFMS), Supply Management Service, Division of Emergency Security and Supply in our Budapest Global Service Centre in Budapest, Hungary.
UNHCR operates a worldwide fleet of approximately 7,700 light, armored, heavy and specialized vehicles. Using roads is a necessary part daily business in UNHCR field operations International and local staff members use vehicles for road missions to emergency and insecure locations to provide humanitarian assistance. Road incidents constitute a major threat to health and safety of UNHCR staff, implementing partners, refugee and local communities. Besides, the road incidents may result in reputational damage to the organization, in a financial loss and can undermine successful delivery of programme activities in the host countries.
By recognizing the fact that the road incidents are largely predictable and therefore preventable, UNHCR has launched the Road Safety campaign with the ‘Vision Zero’ aim to achieve zero road fatalities in its field operations. As part of the UN decade on Road Safety, the UNHCR SRU campaign is currently focusing on increasing awareness of staff and managers about their personal roles in road safety. It is envisaged that the campaign will subsequently enable the UNHCR operations to factor the road safety elements into the core field programmes and project activities.
In February 2019, UNHCR became signatory of the UN Road Safety Strategy and is actively engaged in two working groups of the 5 pillars. The Asset and Fleet Management Section (AFMS) is headed by the Chief of Section, based in Budapest, who supervises two main functions. These include: Global Fleet Management and analysis, 2. Global asset management of owned assets. The section provides support for colleagues globally.
Under the direct supervision of the Senior road Safety Coordinator, the incumbent will:
· Provide administrative support to the Sr. Road Safety Coordinator in order to ensure the smooth running of the unit and routinely flow of information
· Follow up with GLC and the implementer on planned workshops, training, admin instructions, fact sheet recording etc.
· Compile statistical data, for the Sr. Coordinator to review and analyze
· Send out invitations and agenda for monthly telcons of the SC members and draft meeting minutes to be shared with all SC members
· Interact with other unit team members, creating synergy and flow of information within units on a regular basis
· Send out finalized minutes and meeting agenda to the relevant SC members and/or other focal personnel and partners as may be needed
· Conduct web research on road safety and provide feedback to the Road Safety Coordinator
· Follow up on any other road Safety related issues, as instructed by the supervisor
· Regularly up-date the Vision Zero webportal/website on the UNHCR intranet
· Any other work-related tasks as requested by the supervisor

Completion of Secondary education, courses/ training/ certificate in Business Administration, Office Management or related field
Minimum 6 years of previous job experience relevant to the function
Advanced working knowledge of the Microsoft Suite of Products: MS Word, MS PowerPoint, with a special focus on MS Excel skills (i.e. pivots, functions etc.)
Knowledge and practical work experience in fleet and/or asset management
Experience in handling confidential data and maintain discretion
Analytical thinking, data driven oriented with the ability to analyze data
Excellent knowledge of English and working knowledge of another UN language (preferably French, Arabic, Spanish and Russian)
Very good communication and organizational skills. Able to communicate and listen effectively; very good written, verbal and presentation skills
Incumbent who operates within a certain level of autonomy in a rapidly evolving environment
Previous hands-on experience in planning, organizing and delivering administrative support services is highly desirable
Proficiency in a second UN language is desirable (French, Arabic, Spanish or Russian)
The successful candidate will be based with the team in the Global Service Centre in Budapest, Hungary.
The candidate has to be legally residing in Hungary at the time of application.
