JOB SUMMARY:

The Wadhwani Center for AI and Advanced Technologies seeks a highly motivated Program Coordinator (PC) who is organized, collaborative and has a strong interest in program operations. The PC will support the administration and operations of the Wadhwani Center and will be responsible for a wide range of internal processes and project components.
Much of the PC’s time (approximately 50%) will be spent coordinating the financial operations of the Wadhwani Center, including submitting expense reports and invoices, tracking spending, and supporting the development of the team’s annual budget. They will assist the Associate Director with drafting memorandums of understanding (MOUs), logging development activity on Salesforce, and writing grant reports. The remainder of the PC’s time (approximately 50%) will be spent supporting other project activities within the Wadhwani Center, such as coordinating events and publications process for the team, supporting the external communications activities of the Wadhwani Center, hiring and managing interns, and generating internal processes for the team.
This position is administrative and highly collaborative and therefore requires excellent time management skills, communication skills, and careful attention to detail. Candidates should function well in a fast-paced team environment, adapt quickly to a wide variety of programmatic tasks, and have strong communications and project management skills.
Candidates must live in, or be willing to relocate to, the Washington Metropolitan area. The positions will be predominantly in-person with some flexibility for remote working.
The minimum annual salary for this position is $55,000.
The CSIS Wadhwani Center for AI and Advanced Technologies at CSIS delves into crucial topics at the intersection of policy, AI, and other advanced technologies, focusing on three key themes: Governance & Regulation, Geopolitics, and National Security. Issues explored include how governments can balance the benefits of increased technology adoption while mitigating potential risks; responsible strategies for the U.S. Department of Defense and Intelligence Community to harness advanced technology; practical and desirable regulations and governance structures concerning AI and other advanced technologies; and what actions the United States should take to advance U.S. and allied economic and security interests.
The Center for Strategic and International Studies is a non-profit, bipartisan public policy organization established in 1962 to provide strategic insights and practical policy solutions to decision makers concerned with global security and prosperity. Over the years, it has grown to be one of the largest organizations of its kind, with a staff of some 200 employees, including more than 120 analysts working to address the changing dynamics of international security across the globe.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Essential functions may include, but are not limited to the following:
Administrative
• Support day-to-day office operations.
• Support the management of program finances, including project-related budgets, expenses, drafting and renewal of donor MOUs and other official agreements.
• Support senior program staff, including through logistics, scheduling, and program communication and collaboration with other CSIS departments and operations.
• Support external communications, including maintenance of contacts databases, sending of event invitations, and dissemination of program publications and media products in all formats.
Project Management
• Support program in management of projects, including monitoring funding, research, preparation of publications, organizing events, and supervising promotional activities.
• Coordinating with the team on virtual and in-person public and private events, including speaker recommendations, scheduling, agendas, tracking RSVPs, and liaising with the audio-visual and events teams.
KNOWLEDGE, EDUCATION, AND EXPERIENCE:
• Bachelor’s degree required.
• Exceptional organizational skills, attention to detail, and communication skills, including the ability to effectively coordinate with project stakeholders in the public, academic, and private sectors, and coordinate with a diverse team remotely and in person.
• High proficiency in Microsoft Office products is required. Advanced Excel and PowerPoint skills are a plus.
• Experience with budgeting and Salesforce is a plus. Experience with nonprofit fundraising activities is a plus.
• Experience planning and executing public and private events is desired.
• Familiarity with and interest in emerging technology policy issues and a passion for project management is a plus.
• Able to exercise effective judgment, sensitivity, and creativity to changing needs and situations.
• Must be available to work in person at CSIS headquarters in Washington, DC.
