Organizational Setting

The Shared Services Centre (SSC) recommends and administers process management and procedures that need to be executed effectively; ensures the management of quality assurance activities associated with the transactional processes and implementation of service delivery; continuously improves the satisfaction of its customers, internal or external, while pursuing a continuous improvement agenda that will drive up service excellence while driving down the costs of service delivery through process standardization, process automation and self-service capabilities

This position is located in the FAO Shared Services Centre and based in Budapest, Hungary.

Reporting Lines

The Finance Specialist will report to the Finance Officer. 

Technical Focus

Under the supervision of the Finance Officer and other senior Finance associates the incumbent will assist in the transaction processing and updates of the Oracle (GRMS) Supplier master and the General Ledger

Tasks and responsibilities

•    Support coordination with the appropriate parties, vendors, and FAO departments and Country Offices to obtain the necessary information to update the vendor’s records including bank details in Oracle Financials Systems;
•    Use Banking Knowledge Databases (e.g. Thomson Global Banking Database, SWIFT BIC Enquiry, other banking web pages) to verify FAO vendor bank details;
•    Verify the validity of the vendor’s IBAN prior to inserting it into the Oracle database;
•    Update Oracle Financials Systems with Vendor and Bank Account information based on information received;
•    Respond to enquiries regarding the processing of transactions;
•    Report to the Supervisor any irregularities, discrepancies or update problems;
•    Keep statistics on daily work performed, to be summarized in monthly reports;
•    Maintain service levels for vendor and banking updates, as defined in the SSC SLAs;
•    Participate in the creation of journal vouchers;
•    Provide high level customer service for all assigned matters;
•    Assist with testing of system changes and upgrades, participate in projects and training initiatives;
•    Back-up other colleagues and related duties when required.
•    Perform other related duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING


Minimum Requirements    

•    Secondary School Education 
•    At least one year of relevant experience in vendor and banking or master data management. 
•    Working knowledge (level C) of English 
•    National of Hungary or resident of the country with valid work permit.

•    Knowledge of the communication and documentation standards; 
•    Knowledge of another FAO official language (Arabic, Chinese, Russian or Spanish) would be an asset; 
•    Knowledge of the MS Office applications and Oracle ERP application or similar ERP system
