Job Summary:

Under the direction of the Associate Director of Finance and Administration, the Finance & Grants Manager performs diversified accounting and reporting functions and will coordinate and provide administrative management support to the FHI 360 Country Office, Project Office Areas, and seconded staff. The Finance & Grants Manager will also work closely with the Finance Officer and Administrative Assistant to ensure FHI 360 Malawi and sub-recipient compliance with donor and FHI 360 financial, administrative, and operations procedures.

Key Responsibilities:

  • Assist the Associate Director of Finance and Administration in preparing yearly work-plan budgets for submission to the funder.
  • Review all payment requests and determine the propriety and accuracy of all expenditures. Assures completeness of supporting documentation and coding per FHI 360 Malawi policies and procedures.
  • Coordinate with the Associate Director of Finance and Operations, reviewing and analyzing monthly financial budgets (Pipelines) and actual projections. Direct and manage the program budget per the approved annual budget and continuously monitor expenditures.
  • Oversee FHI360 Malawi Office monthly financial close, including submission of related information to HQ.
  • Leads the month-end close-out processes.
  • Reviews bank reconciliations and other balance sheet reconciliations.
  • Prepares weekly cash requests for review by the Director of Finance, Regional Office review, and HQ disbursements.
  • In coordination with the Associate Director of Finance and Operations, responsible for all financial reporting, including annual VAT and PEPFAR Expenditure Reporting, USAID quarterly accruals report questionnaire completion, AP accrual reporting, and VAT reporting
  • Prepares Country Office payroll and ensures that all statutory payments are accurately calculated per the Country Office laws.
  • Manage subaward monitoring plan and reporting.
  • Provide sub-awardees with capacity development and technical support to strengthen their grant management systems and ensure robust sub-agreement management.
  • Participate in the formulation or revision of program and management policies,
  • Assist in ensuring compliance with all donor-related and FHI360-specific policies.
  • Strengthen teamwork and systematic functions between admin, finance, and program and
    Technical teams.
  • Performs other duties as assigned.

    Education and Experience:

    • University degree or higher diploma in Accounting, Finance, and Business Administration or its recognized equivalent
    • Minimum of five years’ experience in accounting related to NGOs and community-level programs, with increasing responsibility.
    • Experience must reflect the knowledge, skills, and abilities listed above.
    • Bachelor’s degree in accountancy from a recognized institute
