CONTEXTO ORGANIZATIVO:
Estos puestos han de cubrirse en las oficinas en los países, los despachos regionales y la Sede. Los titulares de este puesto prestan apoyo administrativo a uno o varios equipos y/o respaldan una esfera operativa específica, y presentan informes al Asistente pertinente. En este nivel, el trabajo se lleva a cabo con supervisión mínima. Los titulares deben realizar un trabajo bien organizado y preciso.
FINALIDAD DEL PUESTO:
Llevar a cabo una variedad de tareas ordinarias de apoyo operativo garantizando que el personal reciba un respaldo eficaz. Bajo la supervisión directa del(la) Asistente Administrativo.
RESPONSABILIDADES PRINCIPALES (lista indicativa y no exhaustiva):
Recopilar, ordenar y distribuir correspondencia, informes y otros materiales para atender las necesidades del personal en los plazos establecidos.
Responder a las consultas ordinarias recibidas o remitirlas, cuando sea apropiado, a las instancias superiores, para prestar un servicio oportuno y esmerado a los clientes.
Corregir documentos escritos, como informes y correspondencia estándar, para contribuir a la exactitud de la información escrita elaborada por el personal.
Llevar a cabo, cuando se requiera, un conjunto de actividades ordinarias de apoyo operativo para contribuir al funcionamiento eficaz de las operaciones institucionales.
Hacer preparativos de viaje y ayudar a organizar eventos, entre otros menesteres, para ayudar al personal a trabajar con eficacia.
Apoyar en la Realización de los procesos competitivos para la contratación de bienes y servicios, custodia y administración de acuerdo con los procedimientos establecidos por el PMA y el adecuado registro de estas en el sistema WINGS.
Gestionar la caja menor de la oficina garantizando su uso transparente y correcto, registrar los gastos administrativos de caja menor en la plataforma del Self-Service, provisiones, GR/SES.
Realizar seguimiento en ITS del pago a proveedores.
CUALIFICACIONES Y EXPERIENCIA ESTÁNDAR MÍNIMAS:
Formación: Finalización del ciclo de educación secundaria. Técnico o Tecnólogo en ciencias administrativas, contables o afines.
Experiencia: Tres (3) años mínimo de experiencia desempeñando tareas administrativas de carácter general.
Conocimientos y competencias:
Capacidad para utilizar equipo de oficina estándar, como fotocopiadoras y escáneres.
Conocimiento de las tareas y los métodos estandarizados de apoyo operativo.
Conocimiento de los paquetes de programas informáticos estándar para oficina, como Microsoft Excel, Word.
Tacto y cortesía para intercambiar información con una gran variedad de personas.
Gran atención a los detalles para encontrar discrepancias en los datos.
Capacidad para trabajar respetando los plazos y seguir instrucciones claras.
Idiomas: Fluidez en español
