Position Overview
The Associate of Events is responsible for providing support in the planning, coordination, and execution of events sponsored or co-sponsored by the United Nations Foundation and Better World Campaign. The Associate, Global Events also provides event-related consultations and advice to UNF campaigns, alliances, and core teams with guidance from the Senior Director, Events. This role plays a crucial part in ensuring seamless event operations and contributing to the overall success of the events. The Associate of Events reports directly to the Senior Director of Events.
This position is based in New York, NY.
Essential Functions
Working with the Senior Manager, liaises with Ford Foundation venue partner to submit and track event applications, attend event information sessions, and provide day-of support for events held at the Ford Foundation, including guest escorting and guest registration.Coordinates event logistics and staffing plans for NY-based events (virtual/hybrid/in-person), particularly during the high-capacity event periods of the UN General Assembly (UNGA), Commission on the Status of Women (CSW), and High-level Political Forum on Sustainable Development (HLPF). Supports on-site event management, including setup, registration, attendee assistance, and coordination of vendors and suppliers with oversight from Senior Director and/or other GCE team members.Supports Congressional Delegation trips to UNHQ in New York by booking travel, coordinating schedules with Congressional offices, processing guest lists for UN Security, and supporting day of logistics.Executes event registration process to include building landing pages, drafting event emails, and sending registration reports.Assist in the preparation and distribution of event materials, such as agendas, presentations, signage, promotional items, and graphics.Maintains shared calendar for event requests and consults with internal partners regarding events including preferred vendors, programs, and appropriate staffing needs.Assists in negotiation with vendors and edits proposals from supplier partners to ensure all elements are covered, maximize efficiencies in the planning process, and ensure compliance with budget and company policies and procedures.Develops and maintains a working knowledge of the substantive issues for UNF/BWF program areas and campaigns.Provide coverage for the DC Associate position, including contract support and inbox monitoring as needed.Other duties as assigned.Selection Criteria
Bachelor's Degree required.1-2 years’ experience in event planning experience required.Highly organized and detail oriented.Working knowledge of ZOOM and virtual events required.Knowledge of Splash That, MS Teams, and Salesforce software highly preferred.Proven competency in software applications including MS Office, Excel, Outlook and PowerPoint.Works well in a collegial fast paced team environment.Strong written and verbal communication skills.Approximately 10% of overnight domestic travel and rare international travel required.Experience and comfort working with socially prominent donors, volunteers, and other VIPs is preferred.Some knowledge of the UN system preferred.Ability to meet physical demands of job, including lifting up to 30lbs.Ability to meet regular attendance/tardiness policy.Ability to work under pressure and handle stress.Ability to meet regular attendance/tardiness policy.Ability to work under pressure and handle stress.Benefits & Compensation
