Background:

The External Relations (ER) department was created in February 2020 and is comprised of 3 main but complementary functional areas: Private Fundraising, Communications and Advocacy. The ER department is at the beginning stages of creating a new radical and ambitious strategy that will enhance IRC’s ability to ‘punch above its weight’ in private income, advocacy and brand awareness. The main objective of the department is to enable this organization of more than 12,000 staff to have the resources needed to continue serving 18 million people worldwide in places affected by war and disaster, shape the humanitarian sector by influencing key policies and reforms and build and grow IRC’s reputation.

Job Overview:

The Gift Processing & Database Associate is primarily responsible for timely and efficient processing of donations; creating and maintaining accurate donation records; importing/exporting donation data; upholding donation data integrity through quality controls; and maintaining department protocols. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems, and the teams we support, grow and evolve.

Major Responsibilities:

• Batch, scan, process, and deposit daily donations (checks, credit cards, etc.);

• Create and update donation records;

• Review daily/weekly quality control reports and develop new reports as needed;

• Perform data hygiene tasks on a daily basis;

• Complete incoming department cases;

• Monitor and enter wire transfer and stock donations;

• Carry out data imports and exports from our various workplace donation platforms;

• Collaborate with “High Value” fundraisers across the department in all items pertaining to gift processing;

• Work with our caging vendor to support on accurate entry for “High Value” donations;

• Maintain up-to-date knowledge of advancements in current and new technologies;

• Build reports to support overall fundraising objectives;

• Participate in special projects as needed

Internal: Colleagues in IRC Finance and fundraising departments; colleagues working in the areas of digital technology and global fundraising across External Relations

External: Coordinate with third party mail processing vendor regularly, and other key Data & Analytics vendors

Impact of work:

Accurate donor and gift records are the cornerstone for reporting and forecasting, and facilitates a better donor experience. This in turn supports the IRC’s ability to cultivate, solicit, and thank our donors.

Job Requirements:

Work Experience:

• Minimum: 2 years of clerical/admin support positions.

• Preferred: 2 years of work experience preferably in a fundraising, development operations, advancement services or customer service or related field, particularly in a non-profit environment.

Demonstrated Skills and Competencies:

• Excellent computer skills: facility with MS Word, Excel, and email/internet software.

• Excellent oral and written communication and interpersonal skills: possess the ability to communicate and liaise effectively with colleagues and vendors and works well within a team environment.

• Solid organizational skills: the ability to work efficiently in a fast-paced, thorough, and collaborative environment and the ability to independently manage a multi-faceted workload and meet strict deadlines.

• Accuracy and attention to detail a must; sensitivity when working with highly confidential information and ability to maintain complete discretion at all times.

• Ability to identify areas to increase efficiency of our systems.

• Proven ability to plan and manage a variety of projects and high work volume: must work well under pressure, prioritize, show flexibility, and solve problems creatively.

Preferred:

• Previous experience and understanding of fundraising and CRM management is helpful; round Cause environment or other Salesforce-based applications preferred.

• Demonstrated skills for analyzing and interpreting data and systems: ability to identify areas to increase efficiency a plus.

Working Environment:

Standard office work environment. Two days in office and three days work from home.

Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
