We are inspired by and associated with World Resources Institute (WRI), a global research organisation. Over 150 researchers are working with WRI India in our offices at Delhi, Mumbai and Bengaluru. Overview for Operations The Operations team helps manage the everyday functions of the organization. They work and work with multiple partners including Donors, Partners, Government agencies, Statutory bodies, Trustees, Vendors, and Consultants by providing support at all range of operational activities. The operations team is a core function and support all the program teams in planning and controlling costs, maximize efficiency and properly allocating resources without any hurdles, whereas the program could focus on developing high quality research documents, plans and implement the program deliverable for the community at large. This is an important part of defining the operations department's goals. WRI operations team consists of multiple responsibilities such as Budget and Finance, Grants and Contracts, Legal Counsel, Accounting, Audit and General management. You will come under the scope of operations and each function lead reports to the Director Operations and Director Operations report to the CEO of the Organization. We manage our endowment, the contributions entrusted to us, and our facilities in ways that are following our values and promote our mission. We maintain strict parameters for risk management and internal financial controls to ensure that all contributions are managed following all the Regulatory and Funder requirements. About your role: WRI India is looking for a, detail-oriented and organized individual to support its operational and administrative activities. You will maintain budgets for complex and multi-faceted grants, financial reporting, tracking expenditures, monitoring contracts and sub-agreements, event management, and other administrative, operational, and support tasks. How your day will unfold: Financial Management (60%):
Maintain project budgets using WRI’s budgeting and forecasting software (TM1) Work with the Operations Manager to maintain the accuracy of budget forecasting and minimize variance from planned targets. Collaborate with the accounting team, payments team, HR and other program teams. Support project reporting processes including preparing semi-annual, annual and any mid-cycle financial reports both internal and external. Coordinate with the program team for completion of timesheets, expense reporting. Coordinate with project teams to support their ad hoc financial expenditures for outreach, communication/engagement and delivery efforts. Ensure team compliance with terms and conditions of complex grant and contract agreements. Contracts Management (10%): Process documentation for agreements, contracts, sub grants, work authorizations, and purchase orders; Monitor performance against contract requirements; Work with partners to help them understand and meet sub grant and contract requirements; Maintain supporting reports throughout the duration of contracts and sub grants; Process invoices and payments for partners in compliance with WRI’s policies; Provide guidance to partner organizations and consultants to ensure their compliance with funder policies, while communicating with partners and consultants. Conference, Event & Travel Support (10% time) Coordinate conference and event logistics for domestic and international workshops, including venue and catering, equipment/translators etc. Provide travel and visa support to the team. Support teams with financial management for conference and event logistics, including participant travel Administration (20% time) Schedules team meetings and help coordinate team’s annual planning processes· Maintain new hire staffing information with operations· Coordinate recruitment and manage onboarding of new staff members and interns, if needed Manage multiple program, department, and organizational trackers· Qualifications & requirements we seek: Bachelor's degree in a related field (i.e. Business, Finance, Economics, Accounting)2-4 years of relevant, full-time work experience, preferably in financial management, budgeting, administrationGrant compliance and monitoring sub grant and contract relationships· Process orientation to quality, timelines, and organizational systems· Work well in a team.
