Under direction of the Director of Financial Analysis and Reporting, the Accounting & Finance Assistant provides support to Accounting & Finance related to award and A&F data management, audit assistance, timesheets support, and treasury.
Responsibilities
A&F Data Management: Review and file subaward risk assessments. Create beneficiary and contract IDs in Business World. Collect and log subrecipient audit reports, W-9s, NICRA and annual Business Certifications for all active subcontractors/subrecipients. Provide guidance/instruction related to obtaining Data Universal Numbering System (DUNS) number for local subrecipients. Prepare and file the required Federal Funding Accountability and Transparency Act (FFATA) report on subawards with FSRS.gov. Prepare and file the small business subaward reports (ISRs and SSRs) with eSRS.gov.
Award Data Mgmt & Treasury Assistance: Assist Manager of Treasury with account management (opening, closing, KYC requests). Assist with depositing and processing of check deposits. Monitor and assist with accounting records management and transfers between on-site and off-site storage. Check monthly on finance document uploads and follow up on missing documentation. Assist with HQ finance document organization as needed. Review and confirm electronic legacy data is accurate. Ensure award data is correctly updated and maintained. Enter & review donor award and confirm all modifications & obligation details into Business World.
Audit & Timesheets Support: Assist in external audit examinations by retrieving and organizing audit selections and other requested client assistance. Track and respond to external audit team inquiries. Submit the ACDI/VOCA audit report to prime agreement holders. Serve as first line support for Unanet system and escalate issues to Helpdesk when needed. Process user account creations and user access requests. Assist with data input and quality checks as needed. Qualifications
Minimum qualifications include a Bachelor's degree in business administration, database management, or information management or an equivalent combination of education and experience. Preferred minimum of 3 years' experience in US government contracts, grants, or finance administration. Experience with USAID is highly desirable. Foreign language skills are a plus. Demonstrated proficiency with Microsoft Office, Excel and database applications. Strong organizational skills, experience with file management and related procedures development. Proven organizational experience and ability to multi-task under tight deadlines. Strong interpersonal skills.
