• Implementation of logistical and administrative support in accordance with UNDP rules and regulations.
  • Performs roles in Atlas in compliance with the internal control framework, including Atlas Manager Level 1 approval rights and Argus requestor back-up function;
  • Supports procurement actions and ensures compliance with corporate rules and regulations in the field
  • Cooperate with GSSU-HR asset focal point on proper management of GSSU-HR assets, facilities and logistical services, including full compliance with IPSAS in the accounting for the procurement, utilization and disposal of assets; 
  • Ensuring effective and streamlined travel management and support in compliance with UNDP rules and regulations; 
  • Supports the continuous update of GSSU-HR business continuity planning in collaboration with GSSU in other locations as well as UN City.  
  • Ensure timely, transparent and competitive recruitment and selection processes for positions under GSSU-HR and other UNDP Units in Copenhagen, including review of job descriptions, facilitate job classifications, posting of vacancy announcements, initial screening of applications, clearance of the shortlists, facilitation of the interview panels, assessment of the candidates and submission of the results of the selection process for the approval by the relevant approving authorities in accordance with the UNDP policies and procedures;
  • Support to GSSU-wide recruitments, as applicable;
  • Monitor and track recruitment processes to ensure compliance with time-to-hire KPI;
  • Oversee the work of team members responsible for service delivery of local staff HR administration for improved services internally and for other UNDP Units in Copenhagen;
  • Guide team members to identify a solution for difficult case and ensure compliance of HR benefits and entitlements determinations with UNDP rules and regulations, strategies and policies;
  • Perform HR Administrator role in Atlas as back-up for team members, if required.
  • Analyse corporate HR strategies and policies, assess the impact of changes and make recommendations on their implementation in consultation with supervisor;  
  • Reach out to clients to maintain and enhance client relationship for improved service delivery;
  • Support to maintenance of the staffing and position table for GSSU-HR in Copenhagen;
  • Maintenance of rosters for GSSU-HR in Copenhagen;
  • Supports the efficient delivery of MFA Support Services provided to UNDP staff located in Copenhagen, as required;
  • Provide any other tasks related to human resources management in the absence of the Operations Specialist (HR).
  • Synthesis of lessons learnt and best practices in GSSU-HR Operations Team as well as capacity building on specialized areas. 
  • Develop proposals for improvements on HR business processes mapping and elaboration/establishment of internal Standard Operating Procedures for internal HR management in coordination with other GSSU teams with the aim to enhance internal consistency and client satisfaction.  
  • Engages in working-level relations and knowledge-sharing with partners in relevant UN system agencies.
  • Works collaboratively with GSSU-HR units for sourcing and consolidation of inputs to regular newsletters, briefing notes and any other materials, as required. 
  • Knowledge of HR management issues and principles and the ability to apply them to strategic and/or practical solutions.
  • Ability to organize, record, and manage employee interactions within HR including but not limited to contract administration, vacancy management etc.
  • Ability to identify and execute opportunities to improve operational efficiency.
  • Accurately accumulating information and its analysis; forecasting potential problems and planning; allowing for alternative, creative solutions and identifying most reasonable solutions.
  • Ability to establish and sustain effective relationships with clients and anticipate client needs.
  • Ability to work effectively with diverse groups of professionals towards common goals.
  • Ability to analyze and propose work-processing approaches and procedures which would lead to more efficient systems design.
  • Ability to efficiently handle and share information and knowledge as well as ability to build a culture of knowledge sharing and learning in the office.

 

  • Advanced University Degree in Human Resource Management, Business Administration, Public Administration, Social Sciences or related field.
  • UNDP HR Certification Programme would be desirable.
  • Minimum 2 years of relevant work experience working in operations/ administration and human resources management including some experience specifically in the area of recruitments, HR transactions, benefits and entitlements administration; preferably in a service centre environment.
  • Familiarity with interpretation and application of UN/UNDP policies, rules and regulations is highly desirable. 
  • Experience in the usage of computers and MS Office packages (MS Word, Excel etc.). 
  • Familiarity with HR module in Oracle-based Enterprise Resources Planning (ERP) system is desirable;
  • Knowledge of usage of SharePoint would be desirable.
  • Fluency in English. 
  • Knowledge of other UN official language is an asset.
