Position Title: Project Assistant

Duty Station: IOM Philippines Country Office (Zamboanga City)

Classification: General Service Staff, Grade G5

Type of Appointment: Special short-term graded, six months with possibility of extension

Estimated Start Date: As soon as possible

Context:

Under the overall supervision of the Head of Satellite-Office and direct supervision of the National Project Officer, the successful candidate will be responsible and accountable for the coordination and implementation of relevant IOM activities in her/his area of responsibility.

Core Functions / Responsibilities:

  1. Support project implementation and monitor services and deliveries are carried out in a timely and cost-efficient manner, including the periodic (monthly/quarterly) work planning and provision of guidance to local partners and field teams involved in the operations under the satellite office’s area of responsibility (AoR).
  2. Support the liaison and coordination with relevant stakeholders, such as national and local government counterparts, civil society groups, national and international organizations and private sector networks, including facilitation of relevant meetings.
  3. Support IOM’s participation at different stakeholders’ meetings/platforms in the AoR and ensure sufficient and relevant information is circulated to and coordinated with stakeholders.
  4. Prepare periodic field updates, activity reports, note for file and field support to the team in the preparation of the timely submission of reports, documentation, meeting minutes, and other information, education and communication (IEC) materials in accordance with IOM and donor guidelines.
  5. Support the National Project Officer and Head of Satellite Office in providing context-based and conflict-sensitive recommendations and coordinating project implementation with IOM Cotabato Sub-Office colleagues.
  6. Assist the project team in ensuring that all phases of the project cycle, including service deliveries, are compliant to project agreement, IOM standards and the principles of the Do No Harm.
  7. Support the project's visibility and stakeholder engagements throughout the project cycle.
  8. Undertake official duty travel to support the team and other colleagues, as required.
  9. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • Bachelor’s degree in Development Studies, Social Work or a related field from an accredited academic institution with three years of relevant professional experience; Or,
  • High School degree in the above fields with five years of relevant professional experience.

Experience

  • Experience of working in the area of Community Engagement, Social Cohesion in emergency or conflict-affected environments, preferred;
  • Extensive field experience with UN and/or NGOs in Island Provinces of BARMM and the Zamboanga Peninsula, a distinct advantage;
  • Experience of working with counterparts from the government, international organizations or NGOs involved in emergency response and development, an asset.

Skills

  • Training or knowledge in the field of humanitarian assistance, development and peace building.
  • In-depth knowledge of conflict context and solid understanding of migration issues in Mindanao, an asset.
  • Extensive experience and knowledge of cultural practices and context of the ZamBaSulTa Provinces.
  • Ability to effectively use standard office software, such as MS Office (Word, Outlook, Excel and Power Point).
  • Excellent presentation, oral and written communication skills in English.

Languages

Fluency in English and Filipino is required. Working knowledge of Tausug and Sama and other ZamBaSulTa language.
