Danish Refugee Council’s Diaspora Programme facilitates, supports, and enhances the role of diasporas as effective agents of humanitarian assistance, recovery and development. The work of the Diaspora Programme supports Danish Refugee Council’s conviction that displaced people are a resource for both countries of origin and destination and responds to a growing body of evidence calling for a more inclusive humanitarian system that integrates ‘non-traditional actors’ to enhance the effectiveness of the humanitarian response.

Diaspora Emergency Action and Coordination (DEMAC) is a platform under DRC that aims to promote closer collaboration, coordination and systemic integration between diaspora led emergency responses and the formal humanitarian system as defined by the Interagency Standing Committee (IASC). About the job

The main role of the Supply chain, admin and log officer is to assist the DEMAC team and the CSE unit with daily procurement, logistic and administrative related tasks. This will include leading with tender preparation, publication and opening, drafting of purchase orders, purchase requests, service contracts and other administrative documentation, supporting event logistics (conferences, trainings, round tables etc.), providing necessary administrative support to program staff in close collaboration with relevant project coordinators and officers. The day-to-day tasks of the Supply chain, admin and log officer will contribute to the project implementation.

The main tasks will include (but will not be limited to):

Supply Chain task:

Work effectively with Supply Chain and program staff in procuring project supplies and services as needed in a timely manner. Ensure all the procurement processes of goods and services from the moment of planning, receiving the request, preparation of relevant tender documentation to the final receipt of goods/services in line with DRC Operations Handbook Support supply chain related tasks and serve as supply chain focal point for DEMAC and the CSE Unit

Logistic tasks:

Plan and support the organization of in-person and online events/workshops/conferences: booking venues/hotels/catering/flights, interpreters, materials, merchandise, reimbursements of participants, printing, etc. Communicate with service providers to ensure quality of service and respect of deadlines Manage the backend and frontend of logistic during the day of the event and solve potential issues

Administrative tasks:

Arrange and support the organization of workshops and meetings Collecting administrative documents such as invoices, signatures, attendance lists, etc. Following payments to service providers and consultants

About you

To be successful in this role, you excel in planning and performing administrative, procurement and logistic tasks within an international environment.

Required experience and competencies:

Relevant educational background in administration/supply chain/logistics At least 2 years' relevant experience in a similar support function with a focus on logistics, admin and/or supply chain management Fluent in English Fluency in another language is an advantage

Moreover, we also expect that you have the following skills:

Experience with ERP systems Microsoft Office skills, in particular MS Excel and Word, Analytical mindset, attention to detail, communicability, financial literacy. Strong organization, problem solving and multitasking skills Cultural and gender sensitivity Adept at workplace and virtual conferencing technologies Strong interest with matters relating to humanitarian response, diaspora, forced displacement and humanitarian work

The position is subject to donor funding.

Salary and conditions will be in accordance with the agreement between DRC and HK (collective agreement for administrative workers). This is a national position for which local terms and conditions apply.
