The incumbent reports directly to the Director, Division of Administration (DoA), United Nations Office at Geneva (UNOG). S/he will work under the overall technical supervision of the Director, Division of Headquarters Security and Safety Services (DHSSS), United Nations Department of Safety and Security (UNDSS), New York. UNDSS is responsible for providing leadership, operational support, and oversight of the security management system to enable the safest and most efficient conduct of the programmes and activities of the United Nations System. ResponsibilitiesWithin delegated authority and the overall direction of the Director-General of UNOG, the Senior Coordination Officer is responsible for the following duties: • Acts as the lead focal point on the Division of Administration’s relationship with its clients. This includes: - Oversight of the Client Service Center (CSC) in conjunction with Service Chiefs who maintain a reporting line for their staff working there; - Helping to establish and oversee an Event Support Center (ESC), which will work with clients seeking to undertake events outside the official calendar of meetings at the Palais des Nations; - Managing relationships with clients through regular meetings of the UNOG Client Board meetings; - Client satisfaction surveys; and - Coordinating onboarding of new clients. • Ensures UNOG’s role as a landlord to over 15 different entities located at the Palais, including through reviewing the current ways space is used and identifying opportunities to improve the physical working environment and optimize use of space and overseeing and ensuring coherence across current and future UNOG space planning initiatives. As part of this role: - Oversees and manages the two core Transition Team members, creating an effective team including focal points and management of relevant UNOG offices, built on strong interpersonal relationships and collaboration; - Manages and assigns responsibility between Transition Team staff to lead the delivery of the specific tasks in the Transition Team Terms of Reference, in co-ordination with the relevant offices of UNOG and its clients; monitors implementation and intervenes where necessary to ensure delivery of the tasks in line with the transition management plan; and - prepares performance reports and development plans for Transition Team staff. • Holds the overall management responsibility for the staff working in the immediate office of the Director and works closely with the team to ensure that the Director receives the required support to carry out his/her functions. • Oversees administrative policy gaps and develops revised policies for approval and dissemination by the Director of Administration. • Leads field missions, including provision of guidance to external consultants, government officials and other parties and drafting mission summaries, etc. • Organizes and prepares written outputs, e.g., draft background papers, analysis, sections of reports and studies, inputs to publications, etc. • Keeps abreast of latest emerging trends and innovative approaches, harmonizes businessstrategies. • Serves as an effective spokesperson for the Director and establishes collaboration and partnerships with key officials at all levels inside and outside the organization. • Ensures effective utilization, supervision and development of staff; guides, evaluates and mentors staff under his/her supervision. • Leads team members efforts to collect and analyze data and provides insight to identify trends or patterns for data-driven planning, decision-making, presentation and reporting. • Ensures that everyone can discover, access, integrate and share the data they need. • Performs any other duties as may be assigned. EducationAn advanced university degree (Master’s degree or equivalent degree) in business or public administration, management, economics, international relations or a related field is required. A first-level university degree in combination with two years of qualifying experience may be accepted in lieu of the advanced university degree. Job - Specific QualificationCertification in project management, such as Prince2 or equivalent, is desirable. Successful completion of both degree and/or non-degree programs in data analytics, business analytics or data science programs is desirable. Work ExperienceA minimum of ten (10) years of progressively responsible professional experience in administration, project or programme management, and strategic planning is required. Of those, five years experience within the United Nations system or similar international organization is desirable. Experience in team leadership/management is required, of which at least two years managing large (10+ people) teams providing services to clients is an advantage. Experience with coordination of complex and crosscutting multi-stakeholder coordination is required. Experience working directly with senior officials, representatives of Members States and/or governing bodies is desirable. Experience in data analytics or related area is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this post, fluency in both is required. Knowledge of another UN official language is desirable.
