  1. Organizational Setting

     

    The post is located in the Data and Document Unit, Madrid Operations Support Service, Madrid Operations Division, Madrid Registry, Brands and Designs Sector.

     

    1. Purpose Statement

       

      The Madrid Operations Division is responsible for receiving, processing and registering international trademark applications and associated data.

       

      1. Reporting Lines

         

        The incumbent works under the supervision of the Head, Data and Document Unit.

         

         

        2.      Duties and Responsibilities

         

        The incumbent will perform the following principal duties:

         

        a.   Identify, correct and duly documents electronic data loading errors, provide feedback to application software owners, ensuring that all incoming files are processed within 24 hours;

         

        b.   Participate in defining technical solutions and in the overall evolution of the system, testing system improvements and managing test data;

         

        c.   Based upon agreed procedures, identify, register and categorize Production and other operational incidents.  Gather information to enable incident resolution and promptly redirect incidents as appropriate;

         

        d.   Carry out agreed production and other operational technical procedures of a routine and complex nature;

         

        e.   Develop cooperation with stakeholders to improve the overall functioning of the electronic exchange;  analyze the available information related to the processing of XML data and liaise with Offices to solve issues;

         

        f.    Manage the publication process for Madrid notifications and Gazette and ensure that the weekly publication is issued without delay;

         

        g.   Manage the process that send email and notification letters to applicants and Offices;

         

        h.   Provide statistics about incoming/outgoing data and working reports;

         

        i.    Work in collaboration with the other colleagues of the Data and Document Unit and provide them guidance and assistance to ensure consistency in processing documents, including in common format for files;

         

        j.    Perform data entry and other related tasks, as necessary.

         

         

        3.      Requirements

         

        Education (Essential)

        Complete secondary education.

         

        Education (Desirable)

        First-level university degree.

         

        Experience (Essential)

        At least eight years of relevant professional experience in the area of operating or managing IT systems, including electronic data management system.
