Work LocationUNRWA-HQA-Planning Department Expected durationSix months with possibility of extension Duties and Responsibilities1. Maintains project databases, prepares, creates, and updates the work breakdown structure (WBS) for newly assigned projects. 2. Ensures timely submission of all project assessments in the Project Assessment System (PAS), conducts subsequent reviews, and follows up with concerned Project Officers in UNRWA Field Offices and HQ Departments and Divisions. 3. Prepares analyses and statistics for quarterly project reviews, presents information using tables, graphs, and other mechanisms, as necessary, and supports the development of technical project portfolio reports that include information on project reporting requirements, commencement and expiry dates, spend rates etc. 4. Ensures project proposals are submitted and endorsed by all relevant stakeholders under an established internal approval process. Updates and consolidates the list of proposals submitted to donors by HQ Departments/Divisions and Field Offices in preparation for quarterly Project Assessment Committee (PAC) meetings. 5. Liaises and coordinates with the Digital Impact Technology and Information Department and the Department of Planning to ensure continuous improvement and optimization of project database systems and dashboards. This includes resolving performance issues, allowing for system testing and identifying IT obstacles / issues. 6. Checks and verifies the accuracy of core data in the databases, such as SAP and the Projects Assessment System (PAS), through coordination with Project Officers in HQ Departments/Divisions, including the Department of Finance and the External Relations and Communications Department (ERC) and Field Offices. 7. Works closely with Finance and ERCD Project Officers to resolve project-related issues, related to the WBS in the system and the technical closure of grant codes.. Participates in coordination meetings, staff meetings, and other meetings as requested. Provides administrative support to the Strategic Project Management Office (SPMO) within the Department of Planning, as needed. 8. Performs other duties as assigned by the supervisor. Qualifications/special skills1. Required academic qualifications: Advanced university degree (Master's degree or equivalent) in political science, public policy, social science, international studies, public / business administration, economics, information technology or a related field is required. A first-level university degree in combination with an additional two years of qualifying experience may be accepted in lieu of the advanced university degree (total of five years of experience) 2. Nature and extent of required relevant experience: At least four years of professional experience in the areas of project / programme management and/or coordination, and/or portfolio management and/or support planning in combination with an advanced university degree. Six years of relevant experience in combination with a first-level degree may be also accepted. Advanced knowledge of database management software such as Excel is required. Knowledge of Power BI and/or other visualization tools would be an advantage. Experience in a humanitarian context within the UN or other comparable international organization is desirable. 3. Desirable Qualifications: 1. Knowledge of UNRWA Rules and Directives. 2. Prior experience with a UN organization, NGO or donor government. 3.
