Context:

Under the overall supervision of the Chief of Mission (CoM) and direct supervision of the Emergency and Stabilization (E&S) Programme Coordinator, and in collaboration with relevant teams within the Emergency and Stabilization (E&S) programme and with relevant Units in the International Organization for Migration (IOM) Ukraine, the successful candidate will contribute to enhanced reporting and communication, and support IOM Ukraine in resource mobilization.

Core Functions / Responsibilities:

  1. Draft and coordinate regular projects reports and donor updates on all E&S programs, based on donor and organizational requirements and policies, as well as the consolidated practice of sharing informal updates, keeping to set institutional timelines for review processes.
  2. Provide and coordinate inputs for information requests from Headquarters, the Regional Office (RO), other IOM Country Offices (COs) and external partners, such as donors, government, partner agencies, and implementing partners.

  3. In close coordination with the Policy, Liaison and Programme Development (PLPD) Unit and other relevant interlocutors within and outside IOM Ukraine, coordinate the preparation and update of communication material, information sharing tools, and visibility/info materials, geared towards the promotion of IOM’s image through E&S programming.

  4. Ensuring coordination with the PLPD Unit, support the effective implementation of E&S projects by contributing to results-based reporting in line with IOM internal guidance and policies and donor requirements, and by using IOM corporate tools such as PRIMA FOR ALL. Support project management in keeping the different PRIMA tools updated (risk monitoring, MS Project, results monitoring).

  5. Contribute to the collection of accurate and up-to-date information on the implementation of E&S projects through regular coordination with relevant focal points within E&S, field offices and other units, as necessary.

  6. Support fundraising efforts within the E&S unit, including, but not limited to, through contributions to the elaboration of documents such as the IOM Ukraine Crisis Response Plan and the Humanitarian Response Plan.

  7. Support the review and editing of publications, studies and other documents drafted by project teams.

  8. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

• Master’s degree in Law, Political or Social Sciences, International Relations, Business Administration or a related field from an accredited academic institution with at least two years of relevant professional experience; or

• University degree in the above fields with four years of relevant professional experience.

Experience

• Experience working in the UN context, along with deep familiarity with the UN system, its agencies, funds and programmes;

• Experience in donor reporting, project development, monitoring and evaluation;

• Previous experience with and knowledge of donor relations and funding mechanisms;

• Experience in liaising with governmental and diplomatic authorities as well as with national and international institutions.

Skills

• Sound and proven understanding of internal and international migration issues in Ukraine and related issues;

• Knowledge of the region is an advantage;

• Knowledge of program management cycle;

• Excellent written and oral communication and interpersonal skills;

• Computer skills and knowledge of relational databases, Microsoft applications, spreadsheets,

word processing, etc.

Languages

IOM’s official languages are English, French, and Spanish.

External applicants for all positions in the Professional category are required to be proficient in English and have at least a working knowledge of one additional UN Language (French, Spanish, Arabic, Russian or Chinese).

For all applicants, fluency in English is required (oral and written). Working knowledge of

Ukrainian, Russian, Spanish and/or French is an advantage.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Internationally recruited professional staff are required to be mobile.
