This permanent, part-time role has flexibility around working location and hours as per below:

This is a permanent role where the successful post holder can work remotely (at home) and attend the office just one day per week and where required for ad-hoc business reasons. (Please note that travel costs are borne by the employee and the employee must live in an area which enables them to work in the office at least one day per week.) Also, this role is part time at 32 hours per week and the line manager is very flexible on how these hours are worked across the week so it could be across 4 days or 5 days.

JOB PURPOSE

This role will suit an experienced, senior career administrator who has the capability and whom enjoys responsibility for supporting the running of an operation. The role will be assisting the Deputy Director of Advocacy / Head of the New York Office and the wider team with administration, you will provide support that enables the team to meet their objectives and ensure an efficient running of the programme. You will be responsible for a number of operations to support them, including but not limited to: financial resources management and record keeping, some budget management, travel booking and expenses processing, servicing of regular meetings, facilitating interdepartmental collaboration and specific tasks relevant to ensure the efficient running of the advocacy work within the programme.

MAIN RESPONSIBILITIES

  • Manage the financial operation of the office, including reporting to the International Secretariat.
  • Work with the International Secretariat and local insurance broker to ensure insurance requirements are met and policies are paid on time.
  • Manage office infrastructure including liaising with the International Secretariat, building management and local suppliers as needed. Also ensure that office equipment is in good working order.
  • Coordinate and assist in the delivery of a number of regular advocacy training for Amnesty staff throughout the year.
  • Ensure the smooth running and support of the New York office's UN work, including getting UN grounds passes for staff and visitors, providing visa letters, organising advocacy events, receptions and other meetings, both internal and external.

SKILLS AND EXPERIENCE

  • Experience of administering and coordinating a large and diverse department or programme and ability to make recommendations to management on improving its programme administration;
  • Ability to manage own projects and organise events;
  • Experience in drafting correspondence and financial reports;
  • Experience of preparing and monitoring budgets and an ability to identify budget problems and solve them;
  • Fluency in English.
