FHI 360 seeks three qualified candidates for the positions of Program Assistants to support its work on the USAID-funded Accelerated and Comprehensive HIV Care for Epidemic Control in Zimbabwe (ACCE) Project and the Re-Ignite, Innovate, Sustain and Empower (RISE) Project; managed by the Zimbabwe Health Interventions (ZHI). FHI 360 is a technical partner with ZHI providing:
Technical assistance on quality, client-centered, differentiated service delivery (DSD) services across the continuum of HIV care, and ensuring data driven decision making at all program levels for the ACCE project. ACCE project’s main goal is to support the national HIV prevention, care and treatment program towards the attainment and sustainability of HIV epidemic control in Zimbabwe. The program provides technical assistance to the management, coordination and provision of comprehensive HIV prevention, clinical care and treatment services within the national HIV program.
Technical assistance on economic strengthening; and gender equality, safeguarding, and social inclusion for the RISE project. The RISE project technical activities aim to disrupt the HIV causal pathway for adolescent girls and young women (AGYW) by addressing priority drivers of HIV risk in Matabeleland South, Midlands, and Mashonaland Central province (Gweru, Mazowe, Beitbridge, Bulilima, Gwanda, Insiza, Matobo, Mangwe, and Bulawayo); and complement the country’s efforts to achieve sustainable reductions in new HIV infections among AGYW.
Position Summary:
Reporting to the Program Officer, the Program Assistant will provide administrative support to the Technical Team for effective program implementation.
Key Responsibilities
Provide administrative support to the Technical Team to coordinate program activities, trainings, events, workshops, and meetings i.e., requisitions for venue, cash advance requests, cash reconciliations, procurements, transport etc., and track progress of logistics, procurements, delivery and distribution under the administration department.
Support travel arrangements for Technical Team, including requisition generation i.e., expense authorization forms, activity approval request forms and travel expense reports.
Assist the Program Officer to develop and maintain weekly/monthly/quarterly Program Team calendar.
Assist the Program Officer to schedule routine Technical Team meetings; maintain minutes and ensure follow-up on action items arising from minutes.
Manage all printing and photocopying assignments, development and reproduction of documents for the Technical Team.
Travels to program activities and provides administrative support to the Technical Team as guided by the Program Officer, and make per diem payments to participants when delegated.
Performs any other administrative duties as assigned.
Knowledge, skills and abilities:
Ability to work with limited supervision
Well-developed computer skills, including knowledge of Microsoft office products.
Excellent written, oral, interpersonal and organization skills.
Excellent report writing skills.
Qualifications and requirements:
Bachelor’s Degree in Social Science/Administration/Health sciences from a recognized university.
A minimum of 1-year relevant working experience.
Experience in office administration is an added advantage.
Experience with large complex organization is required, familiarity with international NGOs preferred.
Demonstrated success in multicultural environments is required.
