1. Role and responsibilities 

The following is a brief description of the role. 

Generic responsibilities 

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work and Development plan. 

 Ensure that all procurement processes are in compliance with Logistics Handbook, other NRC policies and donor requirements 

 Register and/or prepare requisitions, request for quotations and update status reports, update vendor list 

 Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment. 

 Receive supplies and ensure that they are in good condition and accompanied with correct documents 

 Distribute/organize transport of material and equipment according to procedures 

 Prepare documents as required by line manager 

 Manage asset and inventory lists

Specific responsibilities 

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly. 

 Physical count and check for assets and inventory, and report all broken and/or moved assets to supervisor.

 Tag, record all assets and inventory, record and register equipment issued to Staff and physical check of the        transferred assets and records quarterly 

 Keeping and preparing file records as required by NRC Logistics manual in both hard and soft versions 

 Ensuring all required documents is complete, retrievable, and ready to be audited or use as reference. 

 Prepare payment requests for all procurements & other expenses for office i.e. Fuel and other program              supplies 

 Prepare monthly PR Tracking report, KPI reporting and submit to upper level 

 Ensure availability of storage space and maintain orderliness and cleanliness of the warehouse/storeroom at     all times, ensuring that only authorized staff are allowed to enter the warehouse/storeroom 

 Receive, store, and distribute materials and supplies using proper GRN, stock cards, bin cards, stock request     forms according to NRC procedures. 

 Regular maintenance of generator, vehicles and motorbikes including checking their licenses and necessary       actions for extension of licenses. 

 Weekly vehicle movement plan preparation and necessary arrangements 

 Ensure for storage of required contingency fuel stock for generator and vehicles according to logistic                   handbook 

 Proper management of guards and drivers including developing duty schedules, planning of their leaves,           substitution plan during their leaves, WDP. 

 Assist any other tasks assigned by supervisor.

Critical interfaces 

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are: 

 Finance & Logistics Department 

 Admin/HR Teams in North East Offices. 

 All Staff in NRC Myanmar.

• Experience from working with Logistics Sector.

 • Degree or Diploma in related field and/ or related training course.

• Knowledge about own skills/profile. 

• Working knowledge of English both written and spoken. 

Context/ Specific skills, knowledge and experience: 

Strong communication, interpersonal, analytical and negotiation skills. Ability to multi-task, motivating and monitoring team work. Solid experience of working with windows-based computer software and modern control system.
