(a) increase understanding of relevant issues at the international level by involving them directly in the work of the Office and the application of ILO principles, programmes and strategies;

(b) gain practical experience with the ILO directly related to their field of study.

The internship programme is not intended to lead to a career in the ILO. There should be no expectation of further employment at the end of the internship.

Department(s)

The ILO Library in Geneva serves ILO staff at Headquarters and field offices worldwide, member States, workers’ and employers’ organisations and outside researchers. The library holds a wealth of knowledge collected since 1920.

As part of the Information Management Services Branch of the ILO, the ILO Library is responsible for managing and preserving the publications of the Organization. Over the past ten years, the library has digitized a significant number of ILO documents and publications. The demand for online services and access to digital collections has increased over the past two years. The challenge is to identify topics and collections to be delivered and be retrievable online to ILO Constituents.

Learning areas

As an intern, you will be exposed to various ILO Library areas such as providing reference and research services, contributing to managing the library’s collections, and working on information management and digitization projects.

Under the supervision of the Head of Library services and in consultation with other library managers, the intern will undertake the following tasks:

Reference and research
. Become familiar with the IMS (Information Management Services) routines, procedures, and information services:
a. Participate in delivering information services to internal and external users by responding to requests online and in person for research on the world of work.
b. Create information products or collections on topics to be identified and chosen in cooperation with specialist staff in relevant ILO departments.
c. Participate in creating a research profile by identifying reliable sources of information.
Collection management
d. Digitize ILO meeting and other documents, ensuring quality control and proper filing for uploading to Alma, the library catalogue,
e. Create indexes for documents to be bound,
f. Working with library colleagues to weed extra copies of the ILO’s main conference publications.
Information management
g. Conduct information analysis of master datasets across a predefined set of information systems to identify differences and similarities across the systems in terms of quality and consistency of information. Compare the terminology used and document the results.
h. Review the records received from the field offices to identify those that are catalogued in Labordoc and the records that are not catalogued.
i. Train to use Alma platform to catalogue records.
All interns
j. Attend regular IMS meetings.
k. Any other tasks assigned by the IMS chief.

You will gain experience in working with specialists involved in the following tasks: information management, collection management, digitisation of library collections, digital libraries, and provision of information services.

Interns should expect to devote 10% to 20% of their time to administrative tasks.

Required profile

Education

The intern should pursue a university degree in information management, library studies or a related discipline. The candidate should be enrolled in their final year of a graduate degree programme or should have completed such a programme no longer than one year ago.

Experience

Some experience applying international standards for metadata/cataloguing, MARC21. Experience in Discovering services and good research skills

Languages

Working (both oral and written) knowledge of at least one of the ILO’s official languages (English, French, Spanish). A proficient level of written English is desirable as the intern will need to communicate with ILO staff in field offices worldwide

Competencies

Adaptable to an international, multicultural, and multilingual environment, excellent communication skills and ability to work in a team. Strong client orientation is essential.

Selection process:

Following a first screening by the Human Resources Development Department (HRD), hiring departments will short-list applicants. You will be directly contacted should an internship opportunity match your profile. If you have not been contacted by any department within six months after your application, you can consider that you have not been selected by any department for this roster. If still eligible, you may apply to the next roster.

If shortlisted, you may be contacted by the hiring department for a written test and/or interview. The ILO may use communication technologies such as Skype, Video or teleconference, e-mail, etc for the assessment and evaluation of candidates.

Stipend:

As an intern in Geneva, you will receive a stipend of 2450 CHF per month from the ILO, unless you receive funding through another institution (for example your university or a foundation). If you receive partial funding, ILO will cover the difference to ensure you receive 2450 CHF per month. Your travel to Geneva will be at your own expense.

In addition to the amounts referred above, each intern shall receive the amount of CHF45 per month, or the equivalent amount in the currency in which the monthly stipend is paid, which is a contribution from the Office towards the cost of medical insurance to cover the period of the internship.

Insurance:

Please note that the ILO does not take responsibility for any costs arising from accidents and/or illness incurred during the internship. You will be responsible for your own insurance coverage for illness and accidents for the duration of the internship at the duty station (whether Geneva or the field).
