Background

The Danish Refugee Council initiated its activities in the island of Lesvos in November 2015 due to the unprecedented influx of asylum seekers. Following new political developments and displacement dynamics in early 2016, DRC expanded its activities to the mainland to support the people living in several sites across the country. With offices in Athens, Larissa and Thessaloniki, it currently implements a wide range of activities, including Site Management Support, legal assistance, identification of individual needs and protection of highly vulnerable persons, access to services within and outside the hosting sites through cultural mediation, and non-formal education. DRC works closely with the refugee communities, the Greek authorities and other humanitarian actors to ensure a protective environment for refugees and asylum seekers in Greece.

Purpose

Under the line management of the Grants Manager, the Fundraising & Reporting Officer will contribute to the development of project proposals in line with DRC’s global and in-country programme strategy, and support the process associated to the proper grant management, incl. timely reporting of project achievements to donors.

Responsibilities:

  • Fundraising: Project & Proposal Development [40%]

• Coordinate concept notes and proposals, as needed. These will be designed in collaboration with programme staff and technical advisors, ensuring adherence to the country, regional and global strategy.

• Ensure communication between all departments (finance, programme, and operations) in drafting of narrative proposals and budgets.

• Facilitate grant kick-off, quarterly review, and close-out meetings to monitor project progress and ensure donor compliance, operation/programme integration, procurement planning, sharing of lessons learned, etc.

• Support the identification of funding opportunities and the development (design and writing) of project proposals.

Support to Reporting and Grants Management [40%]

• Coordinate external reporting, ensuring the submission on time of high-quality and well-written reports, meeting donor and DRC requirements, with support from the technical program coordinators and programme managers.

• Edit and finalize reports and communications materials.

• Maintain grant files, including regularly updating DRC’s Grants Management System (DRC Dynamics).

• Maintain the grants and report tracking system to ensure all grant files are organized and well managed for planning and preparation of donor reports and project monitoring.

• Coordinate grants management tasks including contract review and signature process and ensuring adherence to DRC internal compliance tools.

Support to the Grants Management Team & Programme Department [20%]

• Support the Grant Manager in providing timely, thorough responses to information requests from internal and external sources.

• Support DRC in ensuring compliance with donor requirements through the provision of support.

• Monitoring and Evaluation liaison: Develop programme reporting tools for data collection of relevant and up-to-date information from DRC field operation and from external stakeholders.

• Manage any other ad hoc task related to programme and grant management as required by the Head of Programmes.

Qualifications:

  • Bachelor’s degree in relevant field, with master’s degree strongly preferred.
  • Protection related educational background will be considered an advantage
  • At least two (2) years of INGO field experience in a similar position that includes proposal development, reporting and grants management.
  • Knowledge of key donor (UN, EC, USG, DFID, etc.) regulations, procedures, and requirements.
  • Knowledge of DRC’s core sectors (Protection, SMS/CCCM, Education) will be considered an asset
  • Proven ability to develop quality reports and winning proposals for donors.
  • Strong networking, interpersonal and presentation skills.
  • Excellent organizational skills, with ability to determine priorities and pay attention to detail.
  • Ability to work in a multicultural context as a flexible and respectful team player.
  • High-level knowledge and practice with Word, Excel, Outlook, etc. and excellent computer skills
  • Ability/willingness to work with extremely tight deadlines and multiple tasks.
  • Strong grasp of all stages of programme cycle management and quality standards in humanitarian programming.
  • Fluent English both spoken and written, including excellent report writing skills and experience in proposal development.
  • Good administrative and numerical skills and attention to detail

Terms & Conditions

  • The contract will be under the Greek Labor Law (this is a national position)
  • All allowances will be provided to the employees (Christmas, Easter, Vacation bonus)
