Title: Finance and Administrative Intern

Location: Harare

Supervisor: Logistics and Administrative Officer

Position Summary:

Working under the supervision of the Logistics and Administrative Officer, the Intern’s primary role will be to support the Finance and Administrative department with developing a filing system (for both electronic and hard copy files) and ensuring that all transactions are adequately supported.

Finance Duties and Responsibilities:

  • Works closely with the Finance Officer to process payments and ensure smooth operation of all financial transactions.

  • Assists in ensuring that all payment packages are complete, including invoices and receipts acknowledgment.

  • Ensures that all petty cash transactions are adequately supported and approved.

  • Develops an updated and easily accessible hard copy and electronic finance office filing system.

  • Assists in compiling invoices and receipts for VAT claims.

    Administrative Duties and Responsibilities

    • Works closely with the Logistics and Administrative Assistant to ensure smooth operations in the admin and procurement function.

    • Answers telephone calls and directs them to the respective staff members.

    • Assists in the sourcing of quotations and drafting of the bid analysis.

    • Assist in maintaining an updated and easily accessible hard copy and electronic admin office filing system.

    • Assists with stores management.

    • Assists in receiving procured goods and distributes them to the user Departments and Provinces.

    • Any other administrative duties as assigned.

      • A customer-friendly attitude and an ability to cope with work-related stress.

      • Proven proactive skills in identifying cost savings, cost avoidance, and efficiency opportunities.

      • Ability to build effective relationships with key internal customers and other stakeholders.

      • Knowledge in pricing, contracts negotiations, conflict resolutions, policies, and procedures.

      • Good analytical, numerical, and mature problem-solving skills.

      • Knowledge of Microsoft Office applications such as MS Word, Excel, PowerPoint

      • Good team player, positive attitude, flexible mind, comfortable in working in a multi-cultural setting.

      • Strong sense of ethics, integrity, credibility, and respect for diversity.

      • Ability to communicate effectively with staff and management with diplomacy and firmness.

        Qualifications and requirements:

        • BCom/BTech degree in Accounting, Business Studies, Finance, Economics, or its recognized equivalent.
