WRI Indonesia has grown significantly since its established in 2014, we grew our portfolio, operations, research, outreach capacity, and staff number. Human Resources plays an important role in supporting the organization to achieve its goals, therefore ensuring the department strategy aligns with the organization’s mission and values, and being adaptive and responsive towards the organization’s current needs is our paramount priority.

Job Highlight

Human Resources Assistant will support the Human Resources Department in talent acquisition, contract management, personnel data management, and other administrative process within the scope of work. Additionally, this position is responsible for maintaining effective communications with all employees by providing necessary information, while ensuring strict adherence to confidentiality guidelines. Collaborative work with the Operations Team is also expected.

The Human Resources Assistant will report directly to the Human Resources Coordinator for Talent Acquisition and Learning Development. The working arrangement for this position is teleworking, with a requirement of working from the Jakarta office for a minimum of 3 days per week.

What You Will Do

Recruitment (60%)

  • Assist the HR Coordinator in maintaining the entire recruitment stages on WRI official job portal and another platform, including submitting new job vacancies, updating recruitment results for all candidates, and closing the position.
  • Coordinate closely with the interview panel and shortlisted candidates to arrange interview schedules and ensure effective communication.
  • Prepare supporting documents and information for an interview, such as interview invitations, scoring sheets, interview guidelines, and interview links.
  • Conduct reference checks and provide the result to the Line Manager.
  • Serve as an interview panel member as assigned.
  • Compile the interview results and report them to the Line Manager.
  • Maintain the recruitment database.
  • Ensure that the recruitment process complies with the policy and procedures.
  • Ensure that all recruitment data is complete and stored in the HR database for easy access.

    Contract Management (30%)

    • Monitoring the validity of all employees’ contracts and providing monthly reminders for Line Manager follow-up through the Head of HR and HR Coordinator.
    • Prepare draft new contract, contract extension, and contract amendments for review by Line Manager
    • Maintain the contract database.
    • Ensure the confidentiality of the employee’s database at all times.
    • Properly and securely store the original copies of each contract in softcopy and physical copies.
    • Provide staff contracts information to other divisions within the Operations Team as necessary.

      Others (10%)

      • Support HR Officer in updating staff data for monthly payroll purposes.
      • Coordinate closely with HR Officer to maintain employee data on ADP.
      • Assist the HR team in the audit processes as assigned.
      • Provide inputs and suggestions for business process improvement.
      • Organize HR-related meetings.
      • Assist the HR Officer and HR Coordinator to manage HR filing.

        What You Will Need

        • Education: Bachelor’s Degree in human resources, social sciences, psychology, business administration, communications, or other related fields. A lower educational degree is acceptable if supported with a minimum of 2 years of relevant working experience in the Human Resources field.
        • Experience: Minimum of 1 year of experience in recruitment or other similar experience in a similar organization or private company.
        • Excellent communications skills: clear and effective written and verbal communication in both English and Bahasa Indonesia; ability to perform a suitable communications style to various types of audiences; ability to define the suitable form of communication according to the need, diplomacy communications, etc.
        • Highly experienced in Microsoft Office
        • Basic knowledge of labor laws
        • Experience in handling confidential documents and information
        • Experience in leading an interview
        • Comfortable in administrative work and poses a high level of organizational agility

            Duration

            This position is expected to start immediately with an initial contract period up to 31 December 2023 and the possibility of extension subject to individual performance evaluation, budget availability, and future needs.

            Terms of Payment

            Daily-rate-based consultant with a maximum of 18 (eighteen) working days per month

            Contract Arrangement

            Individual consultancy contract (Part-time, limited-term)

              Must have authorization to work in Indonesia to be eligible for this position.
