  1. Organizational Setting

     

    The position of Associate Interpretation Services Officer is located in the Interpretation Section of the Language Division, Administration, Finance and Management Sector.  The Language Division is responsible for delivering comprehensive and high-quality language services in relation to: the translation of treaties and other international instruments administered by WIPO, national legislative texts, documents for the Assemblies of Member States, publications, reports of meetings and conferences and working documents for committees of experts and other bodies; and the provision of interpretation services for the meetings of the WIPO Assemblies, committees and meetings organized by the various sectors.

     

    1. Purpose Statement

       

      The Associate Interpretation Services Officer assumes a wide range of coordination functions in support of the Interpretation Section.  In consultation with the Chief Interpreter, the incumbent liaises with WIPO's network of short term conference interpreters to coordinate interpretation scheduling for meetings and conferences, and assists the Head of Section in relation to the day-to-day administration of the Section.

       

      1. Reporting Lines

         

        The incumbent works under the supervision of the Head of the Interpretation Section (Chief Interpreter).

         

         

        2.      Duties and Responsibilities

         

        The incumbent will perform the following principal duties:

         

        a.   Coordinate interpretation scheduling for meetings and conferences;  provide support in hiring of short term interpreters to WIPO meetings on the basis of requisite language skills, availability and business needs;  assist with cost estimates, send and register pay slips and carry out other and other related processes.

         

        b.   Actively follow up communications with internal stakeholders and interpreters, in the preparation for and during meetings and conferences;  provide interpreters with background information and documents;  record, address, follow up on and resolve issues; escalate complex issues to the Head of Section.

         

        c.   Carry out interpretation documentation and terminology research;  create and update glossaries and assume responsibility for the Section's reference materials pertaining to WIPO bodies and meetings.

         

        d.   Prepare and keep booths ready for meetings.  Prepare interpreter sets before meetings.  Prepare, print and take documents, presentations and reference materials to the booths before and during meetings.

         

        e.   Assist in variety of different research assignments, projects and topics, to support managerial decisions on interpretation services, including contributing to the implementation of any tools and systems to support interpretation services;  maintain the existing interpreter database and any subsequent tool, ensuring accuracy and accessibility of data.

         

        f.    Facilitate the provision of interpretation services during video-conferences, hybrid and virtual meetings and contribute to other developments such as remote interpretation and including the provision of sign language interpretation, among others;  provide support during video-conference sessions.

         

        g.   Provide support to short-term interpreters in relation to contract management, invoicing and payment coordination when necessary;  assist in making travel arrangements and preparing travel authorizations and claims for interpreters.

         

        h.   Assist in compiling interpretation services-related statistics, draft reports and support effective planning and adjustment of resources.

         

        i.    Perform a wide range of administrative tasks linked to the provision of interpretation services, thereby contributing to the smooth running of the Section.

         

        j.    Participate and, in the absence of the Chief Interpreter, represent the Section in internal meetings when needed;  and

         

        k.    Carry out other related duties as required.

         

         

        3.      Requirements

         

        Education (Essential)

        First-level university degree in languages, management, business administration or other relevant disciplines.

         

        Experience (Essential)

        At least three years' relevant professional work experience.
