Purpose of the Job

The Assistant provides secretarial and administrative support to Bankers and other members of the office as designated.

Accountabilities and Responsibilities

  • Working with Bankers assisting with projects relating issues

  • Providing administrative support in project preparation: updating projects’ databases and filing project documents, preparing contract request forms, communicating with the Technical Calculation team

  • Maintaining the filing system to ensure instant retrieval of up-to-date information (Project link)

  • Updating Dil Tracker Monitor entries as per the OPSCOM minutes and memo

  • Proofread and drafted routine business correspondence for Bankers’ signature, editing, photocopying, scanning, and binding documents;

  • Organising conference calls, video conferences, external and internal meetings;

  • Business trip travel arrangements, including visa arrangement and preparation of Expense Claim Form's and following up reimbursement process

  • Assist in organization of workshops and seminars, preparing presentations for internal and external meetings

  • Working with visiting missions in the related areas

  • Assist the OM in dealing with accounting (bank accounts, cash flow management, SAP accounting records) and report to HQ

  • Prepare and type reports, letters and memoranda, general information packages on EBRD, making necessary translations as instructed

  • Provide assistance with the coordination of regular maintenance of the office (for example: maintain office inventory, supervise office supplies, lease with landlord reg, repair works, liaise with Security company)

  • Liaise with HQ Administration, Human Resources, IT, and other departments for relevant issues when necessary

  • Perform the UN trip system and security coordinator function of the RO

  • To replace the receptionist in her absence as required

    Knowledge, Skills, Experience and Qualifications

    Academic Qualifications

    • Higher education
    • Fluent in English, with excellent written and oral communication skills

      Experience/Knowledge

      • Secretarial and administrative experience essential
      • Good organizational skills, and a proactive and flexible attitude to work essential.
      • Ability to prioritize own work and to work on own initiative.
      • Good communication skills, including a pleasant and efficient telephone manner
      • Attention to detail and eye for accuracy
      • Ability to cope well under pressure
      • Ability to build effective working relationships with clients and colleagues in a multicultural environment
      • Conscientious, reliable, and flexible with a professional and helpful attitude.
      • Strong team player, with the ability to work highly efficiently and cheerfully and to handle simultaneous assignments involving a wide range of bank-wide contacts.
      • Willing to work overtime as and when required, sometimes at short notice.
      • Ability to multi-task while remaining calm and professional and a capacity for hard work.
      • Excellent interpersonal manner, including tact and diplomacy.
      • Ability to exercise judgment on and deal discretely with confidential/sensitive information and data.
      • Ability to take on responsibility.
      • Excellent time-keeper.

        Technical Skills

        • Computer literate: Windows XP: Microsoft Outlook, Word, Excel, PowerPoint
