Established in 1997 by the General Assembly, the United Nations Mine Action Service (UNMAS) serves as the United Nations focal point for mine action and supports its vision of “a world free of the threat of landmines and unexploded ordnance, where individuals and communities live in a safe environment conducive to development, and where mine survivors are fully integrated into their societies.

UNMAS coordinates and collaborates with fourteen UN departments, agencies, programmes and funds to ensure an effective, proactive and coordinated response to the problems of landmines and explosive remnants of war, including cluster munitions.

UNMAS establishes, manages, and provides strategic direction to mine-action coordination centres in countries and territories as part of peacekeeping operations and humanitarian emergencies or crises. Background Information - UNMAS Sudan

The UNMAS Sudan office is based in Port Sudan and works closely with the Government of Sudan and international partners with an aim of reducing the impact of explosive hazards on the civilian population. UNMAS Sudan’s main activities include land release, risk education (RE) and victim assistance (VA) in areas affected with explosive ordnance. Currently, South Kordofan, Blue Nile and West Kordofan are affected with mines and ERW while 5 Darfur states are believed to contain ERW only. UNMAS also provides technical advice and training for Sudan National Mine Action Centre (NMAC) and national mine action NGOs for improving national mine action capacity.

Under the direct supervision of the Support Services Officer (SSO), and in accordance with UNOPS policies, procedures and practices, the incumbent will be responsible for performing the following duties:

Arrange and obtain the entry visa to Sudan and residency permit for the office and project personnel and visitors as well as other protocol related activities including filling incoming and outgoing official documents.

Conduct maintenance and safe and secure storage of all office equipment and property, including managing office supplies and stationery. Duties include maintaining a stock list of items, distributing supplies to staff as needed, and keeping a detailed log of distribution records.

Assist in shipments,customs clearance arrangements, preparation of documents for UNOPS shipments(received/sent), all necessary documentation, and implementation of followup actions.

Register assets ensuring accurate records.

Conduct physical inventory checks, draft periodic inventory and asset reports and support in the investigation of discrepancies.

Support in ensuring all stores and equipment held by the project are stored safely, correctly, and securely depending upon the item classification.

Support in maintaining an updated list of fleet supplies and fuel under each project ensuring accurate records and ensuring there is no waste, fraud or misuse.

Order fleet spare parts and consumable upon request and maintain inventory including fuel distribution and recording.

Assist in preparing the maintenance work-plan and the budget to cover transportation needs.

Assist the Administration / Logistics Senior Associate to provide on-time, standard monthly reports, including fuel consumption report, maintenance report and any other reports requested by Supervisor including from the field sites.

Maintaining a good filing system for the fleet.

Coordinate with Transport Companies and Freight forwarders regarding shipping documents as well as the loading and unloading process as per the set INCOTERMS.

Education/Experience/Language requirements

Education

A First Level University Degree (Bachelor’s degree or equivalent) with a minimum of 1 year of relevant experience is required OR

Secondary education (High School equivalent) with a minimum of 5 years of relevant experience is required.

Experience

Relevant experience is defined as experience with general administrative, supply chain management, logistics and asset management, or relevant experience in national or international public or corporate organizations.

Proficiency in computers and experience in handling web-based management systems is required.

Experience in use of Enterprise systems is desirable.

Language Requirement:

Fluency in English (speak, read, and write) is required.

Fluency in Arabic (speak, read, and write) is required.
