Job overview

The Site Management Technical Assistant (Operations) is a member of NRC’s Transit Site Team by the East Warsaw Train Station, providing support to refugees coming from Ukraine. The purpose of the assistant position is to support day-to-day implementation of the Transit Site Project and supporting the coordinated actions with relevant local stakeholders.

Role and responsibilities

Generic responsibilities

Ensure compliance with NRC policies, guidelines and standards. Assisting the implementation of technical activities of the project, including supporting goods deliveries, maintenance works, coordination with subcontractors. Assist in ensuring that project targets beneficiaries most in need and explore and assess new and better ways to assist, promote and share ideas for technical improvement. Assist in project documentation of technical activities of the project, including Food and NFIs distribution lists. Promote the rights of refugees/returnees in line with the advocacy strategy. Assisting in preparing and developing daily/weekly stock reports in coordination with the Site Management Officer (Operations), as per Team Leader request. Support preparing and ensuring proper filling of documents (soft and hard copies) in coordination with the Site Management Officer (Operations).

Specific responsibilities 

Respond to technical problems at the transit site in coordination with the Site Management Officer (Operations) and inform the Shift Team Leaders about the progress of works Cooperation with contractors and service providers, in the absence of the Site Management Officer (Operations) Perform other works entrusted by the Shift Team Leaders, in coordination with the Site Management Officer (Operations) related to daily functioning of the transit site Support delivery of goods and warehouse management Controlling the heaters, monitoring power and water/ sewage supplies Use initiative in day-to-day problem solving according to agreed procedures, priorities and standards in regards to maintenance of the transit site Collect and analyse information regarding obstacles and constraints to beneficiaries’ access to services and suggest solutions to shift Team Leader Assist the team in identifying and responding to the emergency cases Distribution of food and NFIs to the project participants in cooperation with the Shift Team Leaders Support procurement and payment requests, and ensure project documents are filed properly (in hard and soft copies) in absence of the Site Management Officer (Operations). Ensure handover to the next Operations staff member upon ending the shift. Ensure major issues are raised with the next Team Leader upon the start of their shift Participate in any other related activities needed at the Transit Site as requested by the Shift Team Leader such as supporting team when buses arrive or collaborating with other team members distributing NFIs and hot meals
