Country Management Unit Context

The World Bank Office in Senegal seeks applications from qualified local candidates for the vacant position of Receptionist to support office and contributes to the smooth running of the daily operations of the Dakar, Senegal Country Office. Tasks may vary according to the office support needs and requirements of the reception work, but typically encompass basic office functions ranging from managing the pouch system, scanning, photocopying to performing light assignments utilizing Microsoft Office.

Duties and Accountabilities

• Welcoming Visitors and answering telephone calls
• Performs basic office functions including managing the pouch system, recording, sorting and distributing incoming correspondences, and any other tasks related to the reception, assisting in maintaining unit files in WBDocs, photocopying, delivering urgent correspondences / messages, handling courier services, etc.
• Backing up the person in charge of filing documents in WBDocs.
• Regular updating of Country Office Staff list 
• Updates visitors list 
• Assuring contact information of partners is kept accurate
• Backs-up other team members in routine office functions, as required.
• Work implies frequent interactions with all colleagues in Dakar Office, visiting missions, consultants, and Counterpart staff as well as external clients.
• Contribute to keeping good and warm working environment as well as good presentation appearance of Senegal Country Office reception.

Selection Criteria

Qualification and skills required for the position

• At least the level of high school degree in administration, secretariat, business administration with 3 years of experience, in a similar position.
• Strong interpersonal skills and commitment to working, in a multi-disciplinary team within a matrix management environment.
• Sound organizational skills and ability to prioritize and deliver assignments as required and ability to work under pressure and to meet tight deadlines.
• Ability to pass relevant Bank Group tests as required.
• Bilingual with an excellent verbal and written communication skills in French and English;
• Good computer literacy.
