We are currently seeking a qualified candidate for the position of: Project Assistant for Preservice Education for the USAID Cambodia Enhancing Quality of Healthcare Activity. This is a five-year project, led by FHI 360 and partnership with Population Services International (PSI), the International Training and Education Center for Health (I-TECH) of the University of Washington, Meridian Group International, and mClinica that aims to engage and empower national and provincial leadership as well as public and private healthcare managers and providers to collaboratively improve the quality and safety of health services, strengthen systems and increase service utilization.

The Project Assistant for Preservice Education is under supervision of Preservice Education Team Lead and is responsible for supporting the Preservice Education activities on project management and implementation, project coordination with sub-national level, entering data to dashboard system, work on budget planning for workshop/training/meeting, help to prepare letter invitation send to MoH-HRDD and RTCs, coordinate with EQHA operations team on procurement, logistic, and administrative work in order to deliver efficient and effective project implementation and maintaining day-to-day operations of EQHA’s preservice education program. The Project Assistant for preservice education will provide payment support for workshop/training events under EQHA’s preservice education project to ensure compliance with FHI 360 and donor regulations and policies and with sound management principles.

Key responsibilities:

  • Provide assistance in project management and implementation as outlined in specific tasks below
  • Assist team in collection and entry data from workshop/training to dashboard for Monitoring, Evaluation and Learning (MEL) indicators report
  • Enter data into internal database management system (IDMS)
  • Help to translate (Khmer to English and English to Khmer) and formatting any documents and during meetings as needed
  • Assist team member when travelling to provinces with workshops and organization of meetings
  • Assist in communication with Human Resource Development Department and Regional Training Centers to inform them about the implementation plan and other admin task
  • Support to the entire pre-service team including consultants
  • Work with finance team to track monthly project expenses and update budget tracking sheet and share with project team on a monthly basis
  • Support in budget development and request and payment upon request for national level activities
  • Support in reviewing procurement plan and documents submitted by admin support officer and Field Operations Support Officer based in central office
  • Raise procurement request in Digital Process Automation (DPA) for project activities (as a whole) upon requested
  • Develop goods/ products distribution plan
  • Draft and submit admin letters as requested
  • Provide admin support in internal meeting appointment, taking notes, filing, keeping all records/photos with clear label and name, field visit arrangement, printing documents
  • Set up online meeting with HRDD and RTCs Support Officers as requested
  • Collect meeting attendance list
  • Ensure all files are saved on SharePoint with clear filing label and date of modification
  • Raise digital Expense Authorization for stakeholders (if applicable) and project staff upon requested
  • Follow up car and driver arrangement for project team
  • Establish good working relationships and collaborative arrangements with government stakeholders, and other parties to help achieve the goals of the organization.
  • Provide regular progress reports and updates to Preservice Education Team Lead and team members
  • Establish strong partnerships and coordinate closely with sites, government and NGO counterparts.
  • Develop and maintain filing systems and make sure all final and clean procurement, logistic, and administration related documents are properly stored.
  • Willing to learn on the job and work additional hours when necessary
  • Perform other relevant duties as assigned by the Associate Director- Finance and Operations or the Project Director/COP or Director for Operations
