FHI 360’s Crisis Response team is responding to the humanitarian emergency in Amhara and Afar region, focusing on emergency health, nutrition and WASH activities to support the goal of reducing morbidity and mortality.

Job Summary:

Under FHI 360 is seeking a highly motivated and experienced Office Manager to oversee the smooth operation of the Axum Field Office in Ethiopia. The Office Manager will play a crucial role in supporting our humanitarian activities, ensuring efficient administrative and logistical support, and maintaining a conducive working environment for staff. The successful candidate should possess at least 3- 5 years of experience in humanitarian activities and be familiar with the local context in Ethiopia.

Responsibilities:

Office Administration:

  • Handle day-to-day office operations and ensure compliance with organizational policies and procedures.

  • Coordinate office logistics, including office supplies, equipment, and maintenance.

  • Oversee the management of office facilities and ensure a safe and comfortable working environment for staff.

  • Handle office communications, including phone calls, emails, and correspondence.

    Human Resources Support:

    • Assist with the recruitment process, including advertising vacancies, shortlisting candidates, and scheduling interviews.

    • Support new employee onboarding, including orientation, documentation, and induction programs.

    • Maintain accurate personnel records and assist with staff leave management.

    • Coordinate staff training and development activities in collaboration with the Human Resources department.

      Financial Management:

      • Assist with financial tasks, such as budget preparation, expense tracking, and processing invoices.

      • Liaise with the finance team to ensure timely and accurate financial reporting.

      • Handle petty cash and maintain proper documentation for financial transactions.

      • Support procurement processes, including obtaining quotations, preparing purchase requests, and monitoring vendor performance.

        Logistics and Travel Coordination:

        • Coordinate travel arrangements for staff, including flight bookings, visa applications, and accommodation.

        • Arrange transportation and logistics for field visits, meetings, and workshops.

        • Maintain accurate records of travel and logistics arrangements, including travel authorizations and expense claims.

          Security and Safety:

          • Collaborate with the security focal point to implement security protocols and procedures.

          • Maintain updated contact lists and emergency response plans.

          • Support the implementation of staff safety and well-being initiatives.

            Qualifications and Experience:

            • Bachelor's degree in a relevant field (e.g., Business Administration, Management) or equivalent experience.

            • A minimum of 3-5 years of experience in office management or administrative roles, preferably within a humanitarian organization.

            • Strong understanding of humanitarian operations and familiarity with integrated health, nutrition, WASH, and protection interventions.

            • Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.

            • Proficient in using Microsoft Office applications (Word, Excel, PowerPoint) and other relevant software.

            • Excellent written and verbal communication skills in English. Knowledge of local languages is desirable.

            • Demonstrated ability to work independently, as well as in a team-oriented, multicultural environment.

            • Strong problem-solving skills and attention to detail.

              Typical Physical Demands:

              • Typical office environment.

              • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.

              • Ability to sit and stand for extended periods of time.

              • Ability to lift/move up to 5 lbs.

                Technology to be Used:

                • Laptop, Microsoft applications (i.e., Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.

                  Travel Requirements:

                  • 30-40 % travelling in the field
