Position Description

**Initially both a support role to the Office & Client Services Manager (OCSM) based in Chios and a service development role working with the A.Ss.I.S.T. to establish A.Ss.I.S.T. presence in Athens.

The OCSM based in Chios is responsible for the management and administrative oversight of the A.Ss.I.S.T. office in Chios and the coordination of all Client Services. The OCSM is therefore the focal point of liaison for the Team, Associate Greek lawyers (AGLs) and for clients. The OCSM Development Coordinator will be responsible for the development of the site office and services in Athens and provide administrative support to the Chios Office and for A.Ss.I.S.T. client services in Athens. S/he will receive training at the A.Ss.I.S.T. Office in Chios prior to commencing the assignment in Athens.

This is a full time position requiring initiative on the part of the successful candidate to develop and expand potential services to clients in Athens.

It is anticipated that, once services are in place and operating, this role will evolve to become a Case Management Coordinator role supervising other members of the Team in service delivery.

Reports to Legal Representative

Main Tasks:

Working in close cooperation with the OCSM based in Chios, the OSC Development Coordinator will provide administrative support to the office in Chios and to all A.Ss.I.S.T. client services as required with responsibility for specific office and client services duties in Athens.

S/he will liaise closely with the OCSM-Chios to:

  • Assist in the scheduling and management of meetings, appointments and calendars for the Team.

  • Assist in accounting duties by maintaining A.Ss.I.S.T. petty cash for the Athens Office.

  • Provide support for the maintenance of administrative systems.

  • Provide general support to all visitors and clients in Athens.

  • Handle client inquiries and complaints with sensitivity and refer as required.

  • Manage relationships with Athens based suppliers, service providers and landlord(s).

  • Provide support to Athens based clients to access legal and other services required to comply with the procedural requirements.

  • Commit to continuous improvement by maintaining, monitoring and reviewing administrative and client service effectiveness in Athens.

  • Other duties as required to support the OCSM.

This is an opportunity to work closely with A.Ss.I.S.T. Legal Advisors in Athens and with A.Ss.I.S.T. lawyers in Chios to improve and expand the services that A.Ss.I.S.T. wishes to provide to our clients.

S/he will work closely with the Legal Representative to establish an office in Athens and develop A.Ss.I.S.T. service provision.

It is anticipated that as this role evolves, it will be supported by volunteers and, once services are in place, it will become a Case Management Coordinator role.

Essential knowledge:

  • Accounting, data and administrative management.

  • Application procedures for international protection in EU and Greece.

  • Administration and social services sector including services provided by NGOs.

  • First Aid and/or Occupational Health & Safety.

Essential skills:

  • Fluent English and Greek - written and spoken.

  • Cross-cultural communication skills.

  • Proficient in MS Office and Google Workplace.

  • Strong organizational and planning skills.

  • Demonstrated ability to work with vulnerable populations.

  • Team player with ability to work independently within an assigned role.

  • Demonstrated ability in problem solving.

The following skills are highly regarded for this position:

  • Proficiency in Arabic, Farsi, French or other languages within the seekers and beneficiaries of international protection communities.

Essential experience

  • Working with applicants for, and beneficiaries of, international protection in Greece.

Certifications/licenses required :

  • Current police check.

  • Working with Children (optional).

  • Occupational Health & Safety certificate (an advantage).
