The Program

Mercy Corps has been operating in Venezuela since 2018 implementing humanitarian and development programs, with special emphasis on water, sanitation and hygiene, health, protection, food security, and nutrition, and plays a key role in the collection, analysis, and dissemination of information relevant to the humanitarian community in the country. The team is expanding its programs at the country level to implement quality programs with the required attention.

Ensure and support the team in the procurement processes adjusted to the needs of the programs, internal guidelines, and our donors, as well as with the applicable local regulations, from responsible and reliable sources in a process that goes from monitoring to satisfactory receipt of the products/services; registration and socialization to the interested parties of the process and accompaniment for the design of procurement plans and selection of suppliers.

Support the organization and deployment of community and institutional events within the framework of the activities of Mercy Corps programs so that they meet the standards and develop successfully and safely for everyone, especially the participants and Mercy Corps’ staff.

General Position Summary

The Logistics Assistant is responsible for the reception, warehouse, correspondence and file of MC in the town. In addition, he/she accompanies the organization and operational management of community and institutional events to be developed within the framework of the programs and/or any other activity related to the organization.

Essential Job Responsibilities

RECEPTION

  • Greet, receive and keep track of all visitors, vendors, etc.

  • Inform visitors about safety recommendations in the office.

  • Security focal point in field offices.

  • Provide guidance to the public when required, considering safety standards.

  • Receive, register and distribute the correspondence that arrives at MC VZLA.

  • Receive and register the proposals for calls according to the orientation of the purchasing area.

  • Take the photocopies and make the impressions that are required.

    STORAGE

    • Maintain adequate inventories of office supplies, including cafeteria and restroom items.

    • Provide office supplies to staff as required.

    • Keeping the inventory of the warehouse up to date, with a record of entries and exits.

    • Manage with the different areas and programs the output of the material that is stored in the warehouse.

    • Support the preparation of shipments of the material that is stored in the warehouse.

      ARCHIVE

      • Scan documents and archive them (physically and electronically) as per guidance.

      • Support the file management of the different areas of operations.

      • Keep the MC VZLA directory updated.

        OPERATIONS

        • Manage the operational advance (petty cash) for office expenses.

        • Request weekly cafeteria supplies (water, milk, coffee maker supplies).

        • Check the office facilities at the end of each day.

        • Report the damages and risks that are identified in the office.

        • Prepare payment requests and ensure that the required supports are available.

        • Maintain the staff attendance record in coordination with the administrative area.

        • Support the reservation management of means of transport and accommodation for visitors.

        • Support in the rental and preparation of spaces to carry out community activities or for the participants of the program and the local team.

        • Support in the pre-selection process of suppliers, contracts, and/or related companies or organizations.

        • Receive shipments destined for Mercy Corps according to location, validating the process, correct reception and state in which the supplies, implements, materials, etc., arrive properly.

        • Support the process of finding and reviewing local providers with whom Mercy Corps can establish a relationship.

          SECURITY

          • Ensure compliance with security procedures and policies as determined by the Team Lead.

          • Proactively ensure that team members operate in a secure environment and are aware of policies, especially in the security of offices, homes and real estate in charge of MC VZLA.

            Accountability

            Reports directly to: Senior Operations Officer

            Works directly with: Senior Operations Officer, Procurement, Finance, Programs.

            Accountability to Participants and Stakeholders

            Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. We are committed to actively engaging communities as equal partners in the design, monitoring and evaluation of our field projects.

            Minimum Qualifications & Transferable Skills

            • Bachelor’s degree in Administration, Accounting, or related careers.

            • File management, procurement and distribution plans.

            • Experience in supplier management and pre-qualification.

            • Experience in hard currency payment management (desiderable).

            • Experience in non-governmental organizations (desirable).

            • Proficiency in Microsoft Office programs.

              Success Factors

              MC VZLA is looking for professionals with solid knowledge and common sense, and experience to resolve atypical situations that arise in the work environment. They have to be punctual, organized, disciplined, purposeful, efficient and detail-oriented toward planning and meeting objectives. Possess excellent oral and written communication skills. It is essential to have sufficient maturity to accept the criticism and demands of the job, as well as to recognize their weaknesses and rely on the work team. It must have empathy and commitment to eradicating those unfair conditions to which the most vulnerable people are subjected. Availability to travel and support activities in other areas of the country.

              Living Conditions / Environmental Conditions

              The position is based in Caracas, Venezuela and will require occasional travel to support country programs, which may include travel to insecure locations where freedom of movement is limited and areas where amenities are limited.
