Terms of ReferenceOrganizational context:

Greece has been one of the main entry points of refugees wishing to reach the EU. UNHCR has supported - and will continue doing so - the Government, which leads the refugee response working closely with the EU, state and municipal actors, UN agencies, international and local NGOs, refugees, local communities. While Greece is still considered a transit country, it has also become a country of asylum. UNHCR estimates that some 70,000-80,000 refugees, including those with subsidiary and temporary protection status, are currently living in Greece, in addition to some 30,000 asylum-seekers. While most refugees and asylum-seekers are in the mainland, living in and outside camps, there are currently over 4,500 in the islands. The large majority of the latter live in camps. UNHCR Greece is focused on a protection-driven approach around two pillars: 1. access to international protection and 2. durable solutions with a focus on integration. UNHCR uses a mix of operational engagement, CB protection efforts, expert advice provision to the Government, monitoring and improved data collection, targeted interventions and advocacy, aiming to support Greece in fulfilling its obligations to provide protection and solutions to persons in need of international protection. Child protection, prevention of sexual and gender-based violence and sexual exploitation and abuse, and institutional capacity strengthening in these areas will continue to be priority, in line with the Office’s age, gender and diversity mainstreaming approach. In doing so, UNHCR seeks to build on the strengths and capacities of refugees, working together and in consultation with them.
UNHCR's Internship Programme offers eligible students and recent graduates at the Country Offices the unique opportunity to gain hands-on practical work experience in the humanitarian sector in an international environment and to understand UNHCR's core mandate. This learning opportunity aims to attract talented candidates who bring diverse profiles and knowledge, innovative thinking, and different ideas to the UNHCR's workplace.
The Unit of Human Resources is responsible for providing a sound, well managed, responsive and efficient operation-wide Human Resources Management strategy and HR advisory services which support the work of UNHCR Greece, but not limited to Vacancy Management, Talent Acquisition, Staff/Management relations, and act as an advisory on UN/UNHCR HR rules and regulations and ensure duty of care.
The Intern will have the opportunity to learn and support the overall work of Human Resources Unit at UNHCR Greece. Activities will vary depending on the requirements of the assignment.
It is expected that the assignment will provide the intern with the opportunity to develop skills in some of the specific domain of Human Resources and in areas such as carrying out data analysis and data presentation, understanding project management in the context of an international organization, gaining insight into the development and dissemination of communication materials, and strengthening verbal and written communication skills, including through participating in meetings and presentations.
The intern will also gain an understanding of the overall work of UNHCR and be given an opportunity to develop soft skills of the UNHCR Competency Framework, such as teamwork, flexibility, results-focus, and client-focus.

Under the guidance and supervision of the HR Associate, the HR Intern provides support to HR services in a large Country Office ensuring high quality of filing of personal documents and other HR related files/documents. The HR Intern promotes a client-oriented and consistent with rules and regulations approach in the Unit.
The HR Intern works in close collaboration with the HR Associate to exchange information and ensure consistent service delivery.

Duties and Responsibilities:

Provide support to implementation of a secure and reliable HR filling system and support to securing HR Supporting Documents:
• Support in designing and maintaining a proper HR filing system for UNHCR with full compliance of HR processes and records with UNHCR rules, regulations, policies, and strategies.
• Support in designing a work plan to ensure all hardcopy and soft copy filings will be secured properly.
• Support in sorting and organizing UNHCR current available HR Electronic Filings.
• Support in scanning, naming and sorting all HR documents stored in hardcopies.
• Extracting, inputting, copying and filing data from various sources.

Implements HR services focusing on achievement of the following results:
• Extracting Staff Lists on regular basis and report on the matters that needs attention.
• Support in maintaining, reviewing, and updating HR Master Lists.

Desirable qualifications and skills:

Education:
Field of study: HR Management, Business Administration, Social Sciences, or equivalent.

Working Experience:
Working experience in a relevant field (preferably HR/Administration) will be desirable but not required.

IT skills:
Knowledge and a proficient user of computers and office software packages (MS Word, Excel, etc.).

Language skills:
good command of English both written and spoken
Working knowledge of other UN languages is an advantage.

Eligibility Requirements:
In order to be considered for the internship, candidates must meet the following eligibility criteria:
- Be a recent graduate* or current student in a graduate/undergraduate school programme from a university or higher education facility accredited by UNESCO;
- Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR;
- Not have immediate relatives (father, mother, brother, or sister) working for UNHCR as a staff member on any contract type or as an affiliate at the time of application.
(* Recent graduates are to be considered those persons who graduated within two years of applying for an internship with UNHCR. )

Additional Information:

The duration of this internship is 2 (two) months.

It is a full-time role with working hours starting from 9.00 am to 5:30 pm Monday to Thursday and 9.00 am to 4.00 pm on Friday (38.5 hours per week). The successful candidate will be assigned to support the team in UNHCR Country Office Athens, Greece.

Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses.

Shortlisted candidates will have to undergo an oral interview.

Recruitment as a UNHCR intern is subject to proof of vaccination against Covid-19.
