JOB PURPOSE

To provide front office management functions, reporting to WFP Tajikistan Country Representative through coordinating and controlling a full range of business support services.

The incumbent is expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. S/he has responsibility for undertaking specialised business support work, such as organisation and coordination of work. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis.

KEY ACCOUNTABILITIES (not all-inclusive)

  • Provide dedicated executive assistant support.
  • Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
  • Actively seek and use feedback to improve business processes and procedures.
  • Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for clients.
  • Oversee the maintenance of records and databases to ensure information is organised and readily available for staff and compliant with all relevant regulations and policies.
  • Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, and translating into English, Tajik and Russian, to contribute to production of these materials to time and quality standards.
  • Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
  • Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
  • Perform other duties as required.

JOB REQUIREMENTS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area.

Experience: Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:

  • Specialised knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.
  • Good communication skills in order to provide specialised business support services to a wide range of individuals.
  • Ability to proactively identify and recommend areas for improvement to the design and delivery of specialised services.
  • Ability to build relationships with a variety of individuals across functions.
  • Experience in coordinating the work of others and self and training and supporting others.
  • Ability to maintain confidentiality.
  • Ability to prepare official correspondence in three languages - English, Tajik and Russian.
  • Ability to conduct simultaneous interpretation between English and Tajik or Russian is an asset.

Language: Fluency in both oral and written communication in English, Tajik and Russian language.

TERMS AND CONDITIONS

Selected candidate will be employed on a fixed-term contract with a probationary period of one year. WFP offers an attractive compensation package: 16 weeks of maternity leave is part of the package, a staff member may also avail of special leave with full pay up to 8 weeks following maternity leave.
