Assistant Reporting Officer

Organizational Setting and Work Relationships
General guidance and support are received from the External Relations Officer. Guidance may also be given by the various specialised units in the office.

Within UNHCR: Close contacts with sections to gather and analyse information.

With EXTERNAL Parties: implementing partners and UN agencies to gather analyse and disseminate information about UNHCR activity information.

Impact of Work: Accurate and well-presented information will promote UNHCR action for refugees, contribute to good decision making, and help for fund raising.
Errors can lead to inappropriate action, and impact negatively on UNHCR's image and affect funding raising efforts.

Duties
- Keep abreast with developments in the area of responsibility to prepare appropriate briefings and reports.
- Assist in collecting and drafting the required information for the production and dissemination of regular updates for internal and/or external distribution.
- Assist in organising donor briefings and the coordination of inter-agency meetings.
- Assist in maintaining working relationships with the Government, NGOs, and UN agencies.
- Draft and disseminate minutes of the meetings that are held periodically in the duty station.
- Accompany visitors and colleagues on monitoring missions to refugee sites giving appropriate briefing, commentaries and prepare briefing material for visitors.
- Draft updates, donor reports, background notes, briefing notes, press reports, etc.
- Produce reports on UNHCR activities.
- Liaise with external partners on behalf of UNHCR.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
- Perform other related duties as required.

Desired Candidate Profile As the Assistant Reporting Officer plays a key role in supporting donor engagement efforts through the regular drafting of high quality written materials (e.g., funding proposals and reports), the ability to draft concise and clear content in English is essential. Strong interpersonal and cross-cultural communication skills are also essential, as well as the ability to work under significant time pressures. The ability to analyse, consolidate and appropriately package information and data sourced from existing materials is also required. In addition, given the need to work closely with the External Relations (ER) and Public Information (PI) units on the creation of digital content, an existing understanding of social media platforms such as Facebook, X and Instagram is also desirable. It is also desirable for the Assistant Reporting Officer to possess an existing understanding of UNHCR’s donor engagement and resource mobilization approaches, especially with regard to visibility. Work experience in English media would be strong asset.

Occupational Safety and Health Considerations

Nature of Position

Based in Cox’s Bazar, under the direct supervision of the Reporting Officer (Donor Relations), and in close coordination with the External Relations (ER) and Public Information (PI) units, the Assistant Reporting Officer plays a key role in supporting donor engagement efforts. This includes developing high-quality funding proposals and reports for submission to various government, intergovernmental and UN donors, requiring strong coordination with technical units (e.g., WASH, Shelter, Protection) as well as the Programme and Information Management (IM) units. The ability to manage multiple tasks and priorities, as well as meet tight deadlines, is essential. The Assistant Reporting Officer also acts as donor visibility focal point for the UNHCR Bangladesh operation, and will be required to provide accurate and timely guidance to staff across all units, as well as external partners. The Assistant Reporting Officer also leads on the implementation and tracking of a wide range of donor visibility activities, ensuring that donors’ requirements are met and providing support to the ER and PI units to develop materials such as videos and social media posts. The position is responsible for developing external materials shared with donors and other key external audiences.
