The International Water Management Institute (IWMI), a CGIAR Research Center is seeking a dynamic & multi skilled candidate to join its office in Lahore, Pakistan, as an Administrative Officer.

The Administrative Officer contributes to the success of the IWMI Pakistan project portfolio by providing administrative and financial support to staff and partners in the IWMI Pakistan Lahore office. The incumbent should ensure that all IWMI policies, practices, and processes are maintained to the highest possible standards in order to ensure compliance with IWMI and donors' requirements. In addition, the person should proactively develop finance and administration procedures, maintain records and filing systems, ensure effective client, partner, and visitor interfaces, and coordinate IWMI Pakistan Office activities.

DUTIES & RESPONSIBILITIES:

Support IWMI Pakistan in managing project activities, including recommending and implementing policies and processes, developing, maintaining, and updating administrative procedures, establishing and managing record and filing systems, ensuring effective customer interactions for visitors, and coordinating workshops, conferences, and other events. Assist IWMI Pakistan\u2019s researchers and management team in engaging with relevant government agencies and partners. Oversee office space and environment, encompassing finance and administration, maintenance, cleaning, health and safety, security, and transportation. Supervise other support staff, ensuring research teams receive sufficient administrative support, facilitating seamless travel arrangements and logistics for special events like workshops, meetings, seminars, etc. Oversee procurement activities, including sourcing, purchasing, and vendor management as per the guidelines of IWMI Procurement policy. Provide programmatic support to research staff by generating periodic project reports as required by IWMI\u2019s headquarters and partners/donors, adhering to specified timelines, updating project records on e-project/e-filing, and performing other tasks assigned by management. Manage assets (fixed and movable): handle procurement, maintain accurate records and tracking of all assets, conduct periodic reviews of functionality and usage. Ensure proper maintenance and functionality of all equipment \u2013 office, scientific, vehicles. Handle obsolete equipment according to IWMI policy. Undertake assigned tasks as requested by IWMI Pakistan's management as needed.

Requirements

MINIMUM EDUCATIONAL QUALIFICATIONS & EXPERIENCE REQUIRED:

Bachelor's or master's degree in Business Administration, Commerce, or an equivalent qualification. Minimum of 5 years of relevant experience in finance and administration, preferably within government or international organizations, demonstrating increasing levels of responsibility. Demonstrated expertise in procuring goods and services.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

Expertise in administration, management, and problem-solving. Solid knowledge and understanding of procurement processes, policy, and systems. Demonstrates good judgment, initiative, adaptability, and flexibility. Exhibits an excellent approach to service delivery and possesses a professional and presentable demeanor. Excellent organizational skills with the ability to prioritize and multitask. Strong interpersonal skills and the ability to establish and maintain effective working relationships with individuals in a multicultural and multidisciplinary environment, demonstrating sensitivity and respect for diversity. Familiarity with Windows Operating System & Proficiency in Microsoft Office Package, especially in Outlook, Word, Excel. Excellent oral and written language skills in English & Urdu, including effective listening and strong verbal and written communication abilities. Ability & willingness to travel to various cities across Pakistan.

This is a nationally recruited position and only candidates who are eligible to work in Pakistan will be considered. IWMI offers a competitive salary and benefits package, inclusive of health insurance, life insurance, accidental death and dismemberment (AD&D) insurance, and long-term disability coverage. The duration of the contract will initially be for a period of three years.
