Department Program Operations (PrOps) - Pact exists to help create a world where those who are poor and marginalized exercise their voice, build their own solutions, and take ownership of their future. The Program Operations teams contribute to realizing this by: ensuring effective project management through supporting project startups, implementation, reporting and financial management as well as closeouts; portfolio coordination: providing a coordinating role across departments in DC that support country offices and programs; working with country teams to develop, refine and pursue their strategies by leveraging technical knowledge (our own and others) and supporting business development as needed; knowledge sharing and learning: enhancing communication between country offices and DC-based teams to ensure better understanding of the diverse operating environments and program approaches.

Position Overview

The Program Operations Coordinator will provide broad operational and administrative support to Pact’s Strengthening Youth and Women’s Civic Participation Program enabling activities in Sudan and the eastern Africa region from Washington, D.C. S/he will help backstop the Project’s delivery of sub-grants to various civil society and media actors focused on Sudan through working closely with colleagues and consultants in regional hubs and other DC-based Departments.

Key Responsibilities

Provide broad operational and administrative support as needed; coordinating timely and comprehensive responses to the Strengthening Youth and Women’s Civic Participation Team’s requests and needs.Backstop the Strengthening Youth and Women’s Civic Participation Program’s sub-award surge support process including tracking sub-award processes and supporting the overall coordination of grants management across multiple teams.Coordinate meetings, including weekly, bi-weekly, monthly or quarterly topic-specific project internal team meetings and organize timely follow up on action items.Support with project-related consultancies, inclusive of drafting agreements, processing payments, and travel-related logistics.Maintain strong knowledge of project status, operations and working environment in order to proactively facilitate country project operations.Support with the development of annual financial and pipeline plans and work plans alongside the Project Team, and monitor performance against plans on a monthly basis.Liaise with Team to ensure project compliance with donor and Pact’s operational policies and regulations.Review and edit project deliverables, in line with donor reporting requirements.Comply with all company policies and procedures, including completing all compliance training topics by the deadline to satisfy each and receiving the corresponding acknowledgment statement that the training has been completed.Perform other duties as assigned by supervisor.

Basic Requirements

Master's degree or bachelor's degree with at least two years (2+) relevant work experienceDetail oriented with the ability to prioritize and perform multiple tasks.Self-starter and independent worker who can also work well as a team member.Proficient with Microsoft Office programs, including Word and Excel.Excellent verbal and written cross-cultural communication skills.Fluency in English.

Preferred Qualifications

Fluency in Arabic. Experience in a developing country context strongly preferred.Experience supporting U.S. government grants, cooperative agreements, and/or contracts.Bachelor’s degree in International Development, International Relations, Regional Studies, Program Management or related field.
