About this position

We are looking for a highly motivated, enthusiastic, and committed Operations and Wellness Consultant to join the Health Services Center team (HSC). As an Operations and Wellness Consultant, you will provide administrative and operational support to the HSC and perform a wide range of business support functions of a highly responsible nature to assist in the day-to-day execution of administrative processes and well-being programs.

You will work in the Health Services Center within the Compensation, Benefits, and HR Services Division (HRD/COB) part of the HRD department. This team analyzes, designs, and administers well-being benefits and programs for international and national staff assigned to Headquarters and the Country Offices.

What you’ll do

  • Perform routine accounts payable functions such as routine payments, reimbursements, invoices, purchase orders, creation/renewal of contracts and professional services agreements, and processing disbursement requests through Bank systems. Maintain inventory and receipts of all orders. Serves as the main point of contact with all vendors.
  • Create and maintain accounting ledger, prepare accruals, assist with preparing budget proposals, reclassifying expenses, and reduce or increase purchase orders as needed.
  • Work with the Health Services Center Chief Nurse/Coordinator and team to develop program designs, track program impact/value, promote/implement, and manage various company-wide wellness initiatives.
  • Identify, plan, organize, and coordinate Bank-wide wellness initiatives, webinars, and events that will target the organization’s employees' specific needs in health, disease prevention, and health management. Explore ideas and opportunities to increase employee participation in wellness programs
  • Creates marketing material and logistic plans for all wellness activities and events (i.e., identification, invitation, and confirmation of speakers; conference room reservations or online Zoom reservations; drafting communications with respect to wellness and marketing campaigns via multiple IDB platforms; tracking participant enrollment/participation; survey distribution and reporting). Work with vendors and other HR associates. Keep abreast of current national wellness and wellbeing initiatives and activities and develop a network of resources.
  • Responsible for providing/coordinating content and edition of a bi-monthly Wellness Newsletter. Responsible for upkeep of Wellness email inbox and maintaining/editing HSC-related intranet pages.
  • Respect patients' rights to privacy and confidentiality, including medical charts/files and medical information received from and/or about patients.
  • Generate and create monthly, quarterly, and yearly reports through Survey Monkey and the internal electronic health record system.
  • Provides administrative support (e.g., translation of wellness and administrative documents, expediting transactions through numerous Bank Units, research information from relevant websites, etc.).
  • Provide coverage/backup during the Front Desk Coordinator's absence, including a one-hour lunch break and facilitating IDB onboarding presentations.
  • Other duties the Health Services Center Chief Nurse/Coordinator assigns.

    What you'll need

    • Education: Bachelor’s degree or equivalent advanced degree in areas related to health management/administration, public health/wellness, or other fields relevant to the responsibilities of the role.
    • Experience: At least 3 to 5 years of progressive experience in administrative support, wellness, health management, or other similar jobs. Strong attention to detail. Strong organizational skills. Ability to prioritize and handle multiple projects at one time under tight deadlines.
    • Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

        • Citizenship: You are a citizen of one of our 48-member countries.
        • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
