About this position

We are looking for a proactive, reliable, and effective Office Support Senior Assistant. As an Office Support Senior Assistant, you will support the Legal Department (VPF/LEG) in the daily execution of its administrative processes and activities.

You will work in the Front Office of the Legal Department. The Legal Department (LEG) advises the IDB President, management, the Board of Governors, and the Board of Executive Directors, on all legal matters relating to the Bank.

What you’ll do:

  • Support the General Counsel in managing the LEG work portfolio. Coordinate support activities within and beyond the LEG Front Office.
  • Prepare staff travel arrangements, and statement of expenses.
  • Execute day-to-day requests from other LEG Units, Bank Departments, and entities outside the Bank, applying knowledge of Bank policies and procedures.
  • Support the General Counsel in managing LEG’s agenda. Provide Administrative and logistical support in the planning, coordination, and execution of inter-departmental and/or inter-organizational meetings, seminars, conferences, and other events.
  • Complete transactions related to the monitoring, scheduling, and follow-up of LEG activities.
  • Provide support to the Front Office with budget related activities and time reporting in SAP.
  • Act as a focal point in LEG for matters related to the signing of contracts.
  • Monitor the purchasing of supplies, processing transactions, as needed.
  • Represent LEG in Inter-departmental meetings within areas of expertise.
  • Support LEG’s compliance with applicable administrative regulations.
  • Provide administrative support to LEG Divisions during temporary absences.

    What you'll need

  • Education: Associate Degree/Technical diploma in administration, office management, secretarial studies, human resources, or other related field.
  • Experience: At least two years of relevant experience. Experience in a law office or legal department, and/or experience with clerical work, operational processes and documentation requirements of multilateral development banks, is desirable. Excellent organizational skills and high level of attention to detail. Proficiency in Microsoft Office Suite products (e.g. Word, Excel and PowerPoint) is desirable.
  • Languages: Excellent oral and written communication skills in English and Spanish. Basic knowledge of at least one other official Bank language (French or Portuguese) is a plus.
