About this position:

HRD is looking for a dynamic, result-oriented professional with deep knowledge and understanding of HR and Budget processes that can work under moderate supervision.

In order to increase operational excellence and achieve efficiencies, HRD is moving towards a centralized model for all its budgetary, administrative, and logistical functions under the, PMO and Resources Management Group. In this role, you will collaborate with all the teams of the Department, as your internal clients, to support and ensure they have the resources and administrative support needed to accomplish their business goals.

You will work in the HRD Front Office Team, reporting to the Head of PMO and Resource Management in collaboration with other members of the Department.

What you’ll do:

Human Resources:

  • Work closely and collaboratively with the RPA and Centers of Excellence to deliver HR and administrative services (i.e., complementary workforce contracts management, time & labor, mandatory courses tracking etc.), ensuring compliance with key deadlines and quality control.
  • Support the implementation of the Department’s learning plan.
  • Support all activities related to the administrative on-boarding and off-boarding, engagement, and recognition, working with the RPA and supervisors.

    Budget and Financial Management:

    • Perform accounts payable functions ensuring compliance with the Chart of Accounts and apply knowledge of results-based budgeting and other business concepts (e.g., accounting, and financial systems, etc.) to increase efficiency.
    • Collect and analyze qualitative and quantitative data on budget execution and results and advise on opportunities to reduce costs and realize resource efficiencies.
    • Demonstrate a thorough understanding of transaction processes from end to end in collaboration with relevant corporate units (Budget, Corporate Procurement, and Finance) to resolve incidents.
    • Perform month-end and year-end closing activities, as needed.

      General Administration:

      • Coordinate activities of the Human Resources Leadership Team (HRLT) including, travel and agenda management using sound judgment as “gatekeeper” to implement strategies for efficient use of the HRLT time.
      • Provide guidance to HRD personnel in general administrative matters including travel, procurement, records, facilities, and information technology, attending relevant trainings and information sessions to stay current on best practices in policies, procedures, and systems.
      • Coordinate the planning and execution of internal events, including Department and Division’s meetings and trainings.
      • Anticipate the goods and administrative services needs for the Department, including office supplies and equipment, following corporate procurement guidelines.
      • Support the management of office space, office moves and improvements (e.g., renovations, upgrades of office inventory, etc.) and function as the IT liaison for all office equipment.

        What you'll need:

        • Education: Bachelor’s degree in Business Administration, Human Resources, or other fields relevant to the responsibilities of the role.
        • Experience: Minimum of 3 years of experience in business administration, human resources, or a similar field. Experience managing complex and/or confidential information. Excellent organizational skills and a high level of attention to detail.
        • Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

          • Proficiency in Microsoft Office 365 tools, SAP and ServiceNow.
          • Knowledge of database management and analytical tools, such as Power BI is desired.

              Requirements:

              • Citizenship: You are a citizen of one of our 48-member countries.
              • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
