ABOUT THE ROLE

The Executive Assistant will be responsible for performing a wide variety of administrative duties and providing executive support to the Chief Executive Officer (CEO). The role will also entail the organization and coordination of meetings with the Board of Directors, Senior Management Team and other workgroups.

JOB RESPONSIBILITIES

§ Provide executive support to the CEO by managing the flow of internal/external information and act on administrative tasks as assigned.

§ Manage the CEO’s daily calendar by organizing and coordinating meetings with the Board of Directors, Senior Management Team, and other work units.

§ Make travel arrangements and reservations, draft agendas, send notifications as well as record, store, and distribute meeting minutes.

§ Answer telephone and electronic enquiries and relay telephone calls and messages to the CEO or other recipients of the information.

§ Prepare, edit, and proofread correspondence, presentations, reports, and other related materials.

§ Conduct research, compile data, statistics and other information on various topics as requested by the CEO.

§ Order office supplies and maintain inventory.

QUALIFICATIONS AND EXPERIENCE

§ Post-secondary certificate or diploma in business administration or a related area.

§ A minimum of three years of administrative assistant experience supporting executive roles.

§ Experience working in the not-for-profit sector and with a board of directors would be considered a strong asset.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER ATTRIBUTES

§ Strong knowledge and understanding of administrative and office procedures with excellent attention to detail.

§ Excellent computer skills including proficiency in MS Office 365 Suite and other communication solutions such as Skype, Zoom, etc.

§ Excellent verbal and written communication skills with a high sense of tact, professionalism, and confidentiality.

§ Excellent time management and organizational skills to work with tight deadlines and effectively adapt to changing priorities.

§ Knowledge of Project Management platforms would be considered an asset.
