The Pension Middle Office team (PENMO) under PEN is responsible for providing a full range of functions supporting investment activities, including the following: (i) pension plan operational activities; (ii) preparation of pension plans financial statements; (iii) pension investment performance and attribution; (iv) monitoring asset class exposures; and (v) all investment asset pricing and valuation; and (vi) third-party clients’ reporting.

Roles & Responsibilities:

The Financial Assistant (ETT) will be responsible for specific tasks related to PENMO unit as well as other department-wide assignments, which will include a combination of, but not limited to, the following:

1. Provide a full range of administrative support/assistance to the assigned PENMO Unit Manager and team:

a. Manage the manager’s day-to-day calendar and communicate changes on time;
b. Coordinate the team’s meetings, handle room reservations, schedules, preparing the meeting agenda and minutes, VC/AC/webex requirements, etc.
c. Assist in editing, formatting, and printing (or photocopying) reports/documents for circulation, using appropriate office technology skills including Microsoft Outlook and Microsoft Office suite;
d. Compilation of various dashboards and reports including, but not limited to, operational risk, team training, PEN dashboard etc.
e. Take the lead in filing of electronic and hard copy documents to ensure consistency and compliance with established standards and procedures; as well as establish/implement/maintain effective monitoring, tracking, filing and retrieval system for the Manager and team (including SharePoint) in compliance with Bank policies;
f. Assist in performing simple and basic research and analysis, suggest and implement solutions in a proactive manner;
g. Assist with HR recruiting process including posting position in Compass, set-up/coordinate all interviews, onboarding new hires, guiding new staff on HR and institutional procedures and processes, office space management;
h. Handle resource management activities including executing transactions in Admin Portal for vendor management and payments including Purchase Order renewals and closures at year-end; handling all PCard expenses and reconciliations for the unit; procure office supplies for the unit;
i. Assist in the travel requirements of the team;
j. Assist the team in coordinating conferences, meetings, events and assist in preparing required documentation/presentations;
k. TRS and LARS coordinator - coordinate the team’s leave and travel schedule;
l. Coordinate with the unit’s team members on other tasks; and
m. Provide support to the team on projects including, but not limited to, the Staff Retirement Plan annual report preparation/coordination, Executives Directors’ report, budget planning, etc.
n. Track and support monitoring of the unit’s staff accesses and revocations to systems and portals.

2. Coordinate, collaborate, and provide back-up support to the Pension Department Admin team colleagues; and

3. Handle ad hoc duties that may be assigned by the supervisor/s, or which may arise from other areas of the Department, especially during workflow changes or absences and heavy work periods.

Selection Criteria

1. Minimum Education/Experience: bachelor’s degree in administration or other related field and at least 5 years relevant work experience in a large international organization, or equivalent combination of education and experience.
2. Basic understanding of economic and financial principles and terminologies.
3. Good knowledge of and demonstrated experience in specialized administrative/operational support functions (e.g., database management, knowledge management, task management, major event/course planning, etc.) and ability to apply relevant procedures, processes, and systems.
4. Thorough knowledge of Bank Group policies, procedures, and practices, including a good understanding of those related to Treasury operations.
5. Excellent office technology skills, including experience with SAP, Outlook, and Microsoft Office suits. Strong Excel and PowerPoint skills will be an advantage.
6. Dedicated team player with excellent organization skills, proactive, keen attention to detail, and a demonstrated ability to handle a variety of concurrent activities in a timely manner with minimal supervision.
7. Excellent interpersonal and communication skills, with ability to interact tactfully in internal/external contacts at all levels, exercising good judgment in handling confidential and sensitive information.
8. Flexibility to perform a variety of tasks and expand the scope of work and responsibilities, with willingness to work overtime on short notice and committed to achieving individual and team results.
9. Willingness to grow and help on the business side of the work program in addition to the administrative work.
10. Highest ethical standards.
