Position Title: Analyst, Supply Chain Operations

Location: Boston, MA or Remote within the US, up to 20% travel preferred

Position Overview: The Supply Chain Analyst plays an important role in supply chain optimization and will execute day-to-day operations related to order execution, international and domestic shipment planning and vendor relationship management to support care provision across Partners In Health’s (PIH) sites. The Analyst will work with international vendors and domestic warehouses to ensure orders are processed, inbound shipments are captured in logistics management information system and shipping documents are communicated to care delivery sites in a timely manner. This individual must be detail oriented, organized, and proactive, with a service-oriented mindset and strong communication skills.
Responsibilities:
Ordering and Logistics (70%):
- Execute all steps of the ordering process, including: work with colleagues from the sourcing team and other departments to understand requests; create purchase orders in ERP system and confirm orders with vendors; ensure requesters are kept updated about order status
- Work with vendors to create shipment plans, monitor adherence to shipment plans, and update ERP system as items ship
- Create and communicate relevant customs clearance documents to site-based teams; keep teams updated on shipment status
- Adhere to all organizational and donor ordering and shipping procedures; maintain the integrity and transparency of all department records and files
- Work with site and logistics colleagues and vendors to resolve discrepancies in received quantities and ensure inventory is accurate
- Pursue opportunities for cost savings with vendors, manage vendor relationships, and track vendor performance
- Work closely with U.S. warehouses to ensure items are shipped out to final destinations in a timely manner and according to level of priority
- Manage relationships with 3PLs/outsourced warehouse vendors and freight forwarders, including performance monitoring and process improvement implementation
Process Optimization: (30%)
- Contribute to data quality improvement initiatives
- Conduct data analysis and prepare reports as needed
- Contribute to budget preparation and grant reporting
- Identify and implement process improvements to optimize the ordering process and inventory accuracy
- Act as supply chain point person for assigned sites and departments; communicate site needs and priorities to colleagues and managers, with particular attention to identifying supply chain risks
Qualifications
Required:
- 3-5 years relevant work experience or a combination of work experience and education in procurement, sourcing, logistics, international development, healthcare administration or similar field
- Demonstrated success managing large orders or data sets with high attention to detail
- Experience using logistics management information systems or proven ability to learn new electronic systems quickly
- Ability to follow established processes and experience implementing process improvements
- Willingness to do important repetitive tasks and data entry and ability to see their connection to larger team and organizational goals
- Intermediate Microsoft Excel skills
- Demonstrated success responding to a high volume of requests with a customer service approach; ability to react to needs based on changing priorities and with a sense of urgency
- Excellent organization and communication skills
- Ability to work well with a diverse team, honoring concerns and priorities of field-based staff
- Interest in social justice and health equity
Preferred:
- Experience with international pharmaceutical and/or medical supply procurement
- Ability and willingness to travel up to 20% of the time
- Proficiency in French and/or Haitian Creole
- Advanced Microsoft Excel skills
