For more information on UNODC, please visit www.unodc.org ResponsibilitiesWithin limits of the assigned authority, the Team Assistant will be responsible for the following specific duties: • Use standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. • Provide general office support services to help ensure the smooth functioning of the organizational unit. • Assist the project teams by providing administrative support in the preparation and organization of documentation, under the guidance of the immediate supervisor, according to the rules and procedures established by the United Nations. • Support the processing of requests to the organizational unit by compiling, systematizing and preparing related information and documentation, and by liaising with other units to obtain relevant information. • Support Low-Value Acquisitions (LVA) processes in the internal UN ERP system (SAP/UMOJA). • Support the office in administrative procedures in internal systems, including Inspira, Umoja, UniteDocs, PowerApps, UN Info, Unite Self Service, etc. • Maintain files (both paper and electronic) and databases for work units. • Assist in producing necessary documents based on the nature of administrative requirements, for the review and approval of the relevant authority. • Provide support to the supervisor in more complex operations; coordinate distribution of pertinent documents to concerned parties, ensure appropriate follow-up action, etc. • Assist in maintaining relevant internal databases and files; keep track of any contractual agreements, systems contracts, etc. and inform affected users of contractual rights and obligations. • Draft routine and non-routine correspondence. • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with visualizations and updating information material such as web pages or brochures. • Assist with development of standardized templates and Standard Operating Procedure (SOP) to support the office. • Perform other duties as assigned. Work ExperienceAt least two (2) years of work experience in administrative services, human resources, procurement, travel or a related area is required. The minimum years of relevant experience is reduced to zero (0) for candidates who possess a first-level university degree or higher. At least one (1) year of work experience in conference services, event management or a related area is desirable. Work experience at the United Nations or other international organization is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this job opening, English is required. Portuguese and Spanish are desirable.
